About the job

Do you thrive at creating structure, coordinating many different tasks and being the one who makes everyday life hang together?

DR Koncerthuset is seeking an administrative operations coordinator for a newly created position, where you will be an important part of the administrative engine behind our many events, staff and guests.

We are looking for an experienced and independent colleague who is motivated by creating overview, following up on tasks to completion and supporting a busy operation. You will take a central role in collaboration with managers, supervisors and colleagues across Koncerthuset and become an important support function in everyday life.

The position is initially temporary, as we want to test both task content and working hours. The working hours are expected to be between 25-30 hours per week, depending on the final task portfolio.

About DR Koncerthuset

DR Koncerthuset is the home of DR's Choir and Orchestras and an integrated part of DR's public service organization with concerts, events and broadcasting on radio, digital platforms and TV. In addition, the house provides a framework for a number of commercial concerts and activities.

Each year around 400 events are held, attracting about 350,000 guests in total.

As an administrative operations coordinator you will be part of the teams that work every day to ensure great experiences for guests, staff and partners.

About the job

As an administrative operations coordinator you will be a central part of the daily operation and will be responsible for supporting a number of administrative processes around staff, staffing, events and ongoing coordination.

You will report to Team Leader Charlotte Hulkvist Larsen and will be organizationally anchored in the Ticket Office, Guest Service, Guided Tours & Group Sales. At the same time, you will work closely with managers, supervisors and colleagues across DR Koncerthuset and support multiple areas as needed.

Your tasks will include, among other things, the following areas

Administrative operational support

  • Scheduling, staffing and handling ongoing changes
  • Follow-up on sick leaves and cover for absences
  • Administrative tasks related to events and concerts
  • Ongoing coordination of practical and operational tasks
  • Responding to customer and guest inquiries at the ticket office during holidays, illness and peak periods

Employee administration

  • The administrative tasks related to onboarding of new employees
  • Set-ups, orders and practical follow-up
  • Support for managers and supervisors in administrative tasks

Payroll, finance and settlement

  • Administrative tasks related to payroll and time registration
  • Settlement and follow-up in connection with events and concerts

In addition, there will be various administrative ad hoc tasks and as the function develops, the task portfolio can be adjusted and expanded according to the organization’s needs.

Who are you?

We envision that you already have experience from an administrative function and know what it means to take responsibility for tasks from start to finish.

You do not need to know our systems beforehand, but you should be eager to learn them and be curious about new areas of work.

We imagine that you

  • Have experience with administration, coordination or similar functions
  • Are an experienced user of the Office package and have a knack for quickly learning new systems
  • Work in a structured and independent manner
  • Have the ability to optimize workflows and processes in daily work
  • Thrive with many different tasks and touchpoints
  • Keep an overview even when it’s busy and everyday life changes
  • Are flexible and solution-oriented
  • Have strong collaboration skills and enjoy many different contact points
  • Have a good mood and a positive approach to collaboration
  • Can build good relationships and collaborate with colleagues across the organization
  • Can adhere to agreements, deadlines and procedures in a friendly and professional manner

We place at least as much emphasis on personality as on experience.

We are looking for a colleague who finds joy in creating structure, coordinating processes and making everyday life work for others. You are motivated by making things hang together, taking responsibility and being the person colleagues know they can count on.

We offer

With us you become part of an engaged environment where collaboration, helpfulness and a good mood are a natural part of daily life.

You will be responsible for your own tasks and become an important part of the daily operation. We expect you to work independently, take responsibility and actively contribute to making everyday life function. At the same time you will be part of a close collaboration with managers and supervisors, where tasks and priorities are continuously aligned.

DR Koncerthuset’s activities follow the annual concert seasons. Therefore there will be periods of high activity and busyness, while other periods allow for time off and more quiet times.

Working hours are therefore recorded over a six-month period.

The position is initially temporary, as we want to test the function’s content, scope and working hours.

Salary and terms

Salary and terms of employment are set in accordance with the current HK agreement between DR and HK.
