About the job
Administrative Coordinator for NQCP – maternity leave cover
Niels Bohr Institute at the Faculty of Science (SCIENCE), University of Copenhagen, seeks an engaged and service-minded administrative coordinator for a maternity leave cover with start date 1 January 2027.
About us
Novo Nordisk Foundation Quantum Computing Programme (NQCP) is an ambitious research collaboration between the Novo Nordisk Foundation and the University of Copenhagen. Our mission is to develop quantum hardware and algorithms for a quantum computer with unprecedented computational capacity - with potential to address major societal challenges in health, climate and digitalisation.
About the job
As an administrative coordinator you will be part of NQCP's secretariat and play a central role in the daily support of the center's staff and activities. Your tasks are wide-ranging and include, among other things, coordinating recruitments, planning meetings and events, cross-cutting administrative operations, and supporting the center's communications efforts.
The position involves close collaboration with colleagues in the secretariat, the center's researchers and leadership, as well as administrative units at the University of Copenhagen. It is therefore important that you enjoy a varied workday, many points of contact, and tasks that require both structure, service and independence.
Key areas of responsibility
- Recruitment coordination: coordination of recruitment processes, planning and contact with relevant stakeholders.
- Meetings and events: planning, coordination and practical execution of meetings, social events and other activities.
- Cross-cutting operations: including access control, procurement and other administrative and practical day-to-day support in collaboration with the rest of the administration.
- Guest management: reception, registration and service for national and international visitors.
- Communication support: contribute to the center's communications, including coordinating content about new staff for our website and LinkedIn.
- Leadership support: calendar and travel coordination as well as other ongoing administrative assistance.
About you
We emphasize that you
- have experience from a similar administrative or coordinating role
- quickly learn and apply new systems
- communicate in flawless Danish and English – both written and spoken
- work in a structured and independent way and can maintain an overview when there are many different tasks underway
- are service-minded and thrive with many different points of contact
- It is a plus if you have knowledge of the university and research environment, but not a requirement
We expect
That you can take initiative and thrive in a daily life where tasks can vary and where priorities sometimes change along the way. You should be willing to take responsibility, find practical solutions and contribute to making everyday life run smoothly for colleagues, leadership and guests.
You will become part of a secretariat where we help each other and collaboratively take on tasks, and we also hope that you want to actively contribute to both collaboration and the social work environment.
We offer
An exciting and developing job in a fast-growing center with a high activity level. The function can develop in pace with the center's needs and be coordinated in dialogue with the center's COO.
The center is characterized by a strong social work environment, where community and professionalism go hand in hand, and where a wide range of social events support relationships across professional groups. The secretariat operates as a unified unit that professionally and proactively supports research activities and works together to create an inviting, ambitious, and socially engaged work environment.
Salary and conditions
The appointment is made in accordance with the collective agreement between the Ministry of Taxation and Public Employees’ Organizations – The Public Sector (OAO-S) and the collective agreement for office workers, laboratory assistants and IT staff (HK/stat). The weekly working time is on average 37 hours, and we offer flexitime.
The tasks are primarily performed at the workplace, and we therefore expect you to be physically present as a general rule. In return, we offer flexitime and great flexibility in planning your workday.
The position is a maternity leave cover with the desired start date of 1 January 2027 to 31 December 2027 with the possibility of extension.
If during your employment you will have access to sensitive data and locations, you must be security cleared. It is therefore a condition of your employment that you can obtain security clearance.
