About the job

Are you eager to be the axle of a busy daily life in a central department in the Ministry of Education's department? And do you thrive on working independently, delivering good service, creating structure and ensuring things run smoothly – even when the day doesn’t go exactly as planned? Then you may be our new department secretary in the Department for Youth and Adult Education and Press and Communications.

About us

The Department for Youth and Adult Education and Press and Communications is responsible for policy development, legislation and implementation in the area of youth and adult education as well as for the ministry's press and communications work. We work closely with the ministry’s other departments, agencies and external partners. Everyday life is characterized by a fast pace, many deadlines and a high level of contact – and we place emphasis on a good working environment where we help each other and take responsibility for both professional and practical tasks being completed.

About the job

As department secretary you will be a key person in making the department’s everyday life function. You will both support the department's staff and be a central support for five office heads and a department head.

Your tasks will among other things be to

•

  • handle invoices and other administrative matters
  • arrange travel bookings and travel settlements
  • plan meetings, book venues and coordinate participants
  • ensure that the department head's meeting materials are gathered and distributed on time
  • distribute incoming orders and inquiries within the department
  • welcome new employees to the unit
  • assist colleagues with minor IT challenges and contact relevant support functions
  • serve as the department's link to the service unit on e.g. venues, equipment and practical matters
  • contribute to developing and maintaining good working routines in the department.

You will have a daily life with many varied tasks, where you both solve routine operational tasks and handle ad hoc tasks that arise day by day.

About you

We imagine that you have an office education, e.g. as an administrative assistant in the public sector, and experience from a larger public workplace or a politically governed organization is an advantage – but not a requirement.

It is important that you

  • enjoy delivering good and welcoming service – both to managers and colleagues
  • have a good mood and contribute positively to the department’s atmosphere
  • are robust and can maintain calm and overview, even when it is busy and tasks change
  • work in a structured way and have an eye for details, without losing sight of the whole
  • can handle multiple tasks at once and prioritize in collaboration with managers and colleagues
  • are curious about IT systems and not afraid to try things out and help others
  • are independent, responsible and good at following up, so tasks are brought to completion.

We offer

You will become part of a department with dedicated colleagues and an informal tone. You will have a central role in the department’s daily operation, close collaboration with colleagues and managers, and good opportunities to gain insight into the work in a ministry close to the political decision-making processes. We provide a thorough introduction to tasks, systems and collaboration interfaces.

Salary and employment terms

You will be employed under the organizational agreement between the Ministry of Finance and HK/STAT for office clerks, etc. Working hours are on average 37 hours per week

The place of employment is Frederikholms Kanal 25, 1220 Copenhagen K. The employment is as soon as possible and no later than 1 December 2026.
