About the job

Institute of Natural Science and Environment at Roskilde University is seeking two skilled and dedicated research coordinators to support externally funded projects. One of our capable colleagues is moving to Jutland, and at the same time the institute has had great success in securing external research funding in recent years. We are therefore now looking for 2 colleagues who can help us support the increasing application and grant volume.

The Institute of Natural Science and Environment is one of four institutes at Roskilde University. The institute conducts basic and applied research in medicinal biology, molecular biology, environmental science, chemistry, physics and mathematics. The institute is organized into four groups: Molecular & Medicinal Biology, Environmental Dynamics, Mathematics & Physics and Chemistry, and an institute secretariat.

You will become part of the institute secretariat, where you will have about 10 colleagues who work with research funding, finance, HR, PhD administration, communication, recruitment, education and management support.

Roles and qualifications

We are seeking two different budget-fluent profiles.

A pre-award profile: You will have a particular focus on pre-award (including especially budgeting) and on supporting researchers in the award phase (including collaboration agreements and project set-ups) and ensure a structured handover to your colleagues who work with post-award. Your tasks will include:

  • Prepare realistic and thoroughly developed budgets for research applications and advise researchers on requirements and frameworks in the pre-award phase.
  • Contribute to quality assurance of research applications.
  • Support fundraising and communicate and advise on relevant funding and support opportunities.
  • Support the institute’s external grants in the award phase up to project establishment – e.g. by preparing collaboration agreements, data processing agreements and similar, and hold start-up meetings.
  • Advise and support the institute director in the research area, particularly fundraising and match-making between research funding and researchers at the institute.
  • Collaborate with colleagues at other institutes and in the shared administration – including Roskilde University’s central research support unit.

We emphasize that you;

  • have a relevant education.
  • have solid experience with pre-award work on external research projects – preferably in the natural sciences.
  • have a good financial understanding, enjoy working with numbers and have solid experience in budgeting.
  • can advise researchers and translate complex requirements and frameworks from funders into concrete and usable solutions that ensure high-quality research projects.
  • have experience with the award phase for externally funded projects, including the drafting of collaboration agreements and other contractual arrangements – or alternatively have an interest in it.
  • have an eye for good workflows and a desire to contribute to developing and optimizing processes.
  • work in a structured and independent manner and thrive in close collaboration with researchers, management and administrative colleagues.
  • are approachable and service-minded and can build good relationships across disciplines and organizational units.
  • communicate confidently in both Danish and English, orally and in writing.

A post-award profile: You will have a particular focus on post-award, where you support the researcher and the institute after obtaining the grant. You ensure compliance with the funders’ and university’s guidelines. Your tasks will include:

  • Budget follow-up and rebudgeting in collaboration with the institute’s researchers. You provide researchers with an overview and advise them on correct and optimal use of the allocated funds.
  • Ensure the necessary documentation and compliance, e.g. regarding time tracking, purchases, settlements and other project costs.
  • Prepare relevant financial overviews of the project portfolio, e.g. for the institute’s financial governance, cost center overviews, etc.
  • Collaborate with and act as a link between the projects, the researchers and relevant administrative functions such as HR and Roskilde University’s central project economics unit, as well as our colleagues across institutes.
  • In time you will likely also support the institute’s external grants in the award phase up to project establishment – e.g. by preparing collaboration agreements, data processing agreements and the like.

We emphasize that you;

  • have a relevant education.
  • have interest in and some experience with administration and financial support for projects.
  • thrive with working with numbers and have an eye for financial contexts and a desire to work with budgets and financial follow-up.
  • work structured and thoroughly and recognize that documentation, deadlines and administrative requirements must be in place.
  • have experience with ensuring compliance, e.g. regarding time reporting, travel reimbursements and other project costs.
  • it is an advantage but not a requirement that you have experience in drafting collaboration agreements and other contractual arrangements.
  • have an eye for good workflows and a desire to contribute to developing and optimizing processes.
  • work structured and independent and thrive at the same time in close collaboration with researchers, management and administrative colleagues.
  • are approachable and service-minded and can build good relationships across disciplines and organizational units.
  • communicate confidently in both Danish and English, orally and in writing.

We are an engaged and ambitious research support team, and we also place emphasis on you contributing to collaboration with professional curiosity, flexibility and good humor.

Please indicate in your application whether you are applying for the pre-award position, the post-award position, or are interested in both.

In the secretariat, we value well-being and good collegiality. We maintain a good sense of community while taking into account the individual employee. We do this, among other things, by offering flexible working hours and days of home office.
