About the job

Do you thrive in leadership support and varied administrative tasks and meeting management?

And would you like to apply your skills and experience in a well-functioning, exciting team-based working environment, surrounded by helpful and capable colleagues?

Then please read on!

For the secretariat at the Institute for Culture & Language Studies, we have, as of January 1, 2027, a vacant position in our leadership support team. The position is a full-time role (37 hours/week).

You will receive meaningful tasks

We are seeking a colleague who enjoys both classic secretarial tasks and more specialized duties related to teaching planning.

Your tasks will include

  • Administration of our scientific staff's teaching hours in accordance with applicable working hours norms
  • Long-term planning of teaching capacity across our many different study programs in collaboration with our two deputy institute directors and our academic staff
  • Leadership information in relation to teaching
  • Calendar management and support for the institute management
  • Planning and execution of events
  • Ordering of refreshments and room booking
  • Follow-up on various management decisions
  • Responsibility for purchases for the institute and processing of invoices

The tasks require meticulousness, overview, and a systematic mindset. We are a large institute with a small management group, so we are highly dependent on administrative support when decisions and planned efforts must be implemented.

We rely on you not only solving your own tasks independently but also contributing to the ongoing improvement of our overall workflows.

You will, in return, have great influence and the opportunity to follow things through to the end and see the results of your efforts.

Who are you?

You may have experience with study administration or leadership support? Perhaps you work in another form of administration and would like to try something new?

We place great emphasis on you being service-minded, thorough, and able to quickly learn new systems and IT tools.

You will have a broad range of contacts, so you should have a talent for good communication and be able to operate comfortably in English, as we employ many international researchers.

Of course it is a plus if you have knowledge of the university world.

But what matters most to us are your abilities, work attitude, and desire for us to become even better at solving our tasks together. For us it is essential that the individual not only focuses on their own task solving but also helps make it easier for colleagues to solve their tasks. You are therefore – like us – ambitious and eager to continuously contribute to the development of our administrative processes.

What do we offer?

We are 10 collaborative colleagues who are ready to help you on your way to the next chapter of your career. We emphasize a safe and pleasant working environment with short distance between managers and employees. We discuss big and small matters with each other, learn from our mistakes, and become better together. This also means we value strengthening our relationships through face-to-face meetings, but at the same time we want to allow for individual concentration. This means we have prioritized single-occupancy offices and the option for a fixed home-working day on Thursdays.

Does the above sound like something for you? Then we look forward to reading your application.

If you have questions about the position, you are, of course, welcome to contact the Secretariat Manager Stefan Knudsen, [email protected] .
