About the job
Do you thrive in management support and diverse administrative tasks and meeting management?
And would you like to put your skills and experiences to use in a well-functioning, exciting team-based work environment, surrounded by helpful and skilled colleagues?
So please read on!
For the secretariat at the Institute for Culture & Language Sciences we have, as of 1 January 2027, a vacant position in our management support team. The position is a full-time position (37 hours per week).
You will have meaningful tasks
We are looking for a colleague who thrives with both classic secretarial tasks and more specialized tasks around teaching planning.
Your tasks will include
- Administration of our scientific staff's teaching time in accordance with the applicable working-time norms
- Long-term planning of teaching capacity across our many different study programs in collaboration with our two deputy institute leaders and our scientific staff
- Management information in relation to teaching
- Calendar management and support for the institute leadership
- Planning and execution of events
- Ordering catering and room booking
- Follow-up on various management decisions
- Responsibility for procurement for the institute and handling of invoices
The tasks require thoroughness, an overview and a systematic mindset. We are a large institute with a small management group, so we are highly dependent on administrative support when decisions and planned actions are to be carried out.
We depend on you not only solving your own tasks independently, but also contributing to the ongoing improvement of our overall workflows.
In return, you will have great influence and the opportunity to see things through to completion and to see the results of your efforts.
Who are you?
Maybe you have experience with study administration or management support? Maybe you work in another form of administration and would like to try something new?
We place great emphasis on you being service-minded, thorough and having a knack for getting to know new systems and IT tools.
You will have a large contact surface, so you should have a flair for good communication and be able to operate effortlessly in English, as we employ many international researchers.
It will naturally be a plus if you have knowledge of the university world.
What matters to us, however, are your abilities, work attitude and the desire for us to jointly become even better at solving our tasks. For us, it is crucial that the individual not only focuses on their own task solving but also helps make it easier for colleagues to solve their tasks. You are therefore – like us - ambitious and keen to continuously contribute to the development of our administrative processes.
What do we offer?
We are 10 collaborative colleagues who are ready to help you on your way to the next chapter of your career. We place emphasis on having a safe and pleasant working environment with short distances between managers and employees. We are happy to discuss big and small matters with each other, learn from our mistakes, and become better together. This also means that we value strengthening our relationships through physical meetings, but also want to allow space for individual concentration. This means we have prioritized single-occupancy offices and the option for a fixed home-working day on Thursdays.
Does the above sound like something for you? Then we look forward to reading your application.
If you have questions about the position, you are, of course, welcome to contact the Secretariat Manager, Stefan Knudsen, [email protected].
