About the job

Management Support Assistant in a full-time parental leave replacement at the Department of Chemistry and Bioscience

Job description

Do you want to contribute to ensuring everyday life runs smoothly for staff, students and management at the Department of Chemistry and Bioscience? As a management support assistant you will be part of the management support team and will play a central role in coordinating communications, events, administrative processes and activities that strengthen the institute's academic and social environment. The position is a full-time parental leave replacement with start date 15 January 2027 and end date 31 July 2027.

Your responsibilities

You will become part of the administration at the Department of Chemistry and Bioscience, where you join Team Management Support, HR & Funding. The team handles a wide range of tasks within internal communication, events, meeting support and personnel administration. The concrete allocation of tasks is agreed within the team, taking into account the institute's needs and your experience. You will have broad contact surfaces and work closely with colleagues in administration, the institute's researchers and students, as well as the central communications unit at Aalborg University.

In the position you will among other things coordinate communication activities and participate in monthly communication meetings. You plan and execute events, conferences and meetings relevant to the institute, including internal events such as summer seminars, researcher events, inauguration lectures and Naturmødet. You also contribute to the execution of recruitment activities

You are involved in providing secretariat support to councils, including the preparation of agendas, minutes and annual cycles. In addition, you work with internal information, including the institute newsletter, information displays and presentation materials, and you may be assigned tasks with photography and video when needed.

Your competencies

You have experience with communication and can express yourself clearly and purposefully, both when you prepare written material and when you collaborate with many different colleagues and partners. You work confidently in Danish and English and have good English skills in both writing and speaking.

You can create structure and overview in tasks with many participants, dependencies and deadlines. You are curious about new solutions and can translate ideas into concrete activities and processes. At the same time you have an eye for detail in administrative tasks, where good coordination and timely follow-up matter for events, meetings and internal processes to run smoothly.

We value that you take initiative, collaborate constructively and contribute positively to the everyday life of the team. You must be able to work independently with your areas of responsibility and at the same time regularly align tasks and priorities with the rest of the team. You thrive with variation in tasks and with periods where tasks arise that require a quick and well-coordinated response.

Who are we

At the Department of Chemistry and Bioscience, 230 staff and more than 700 students work to create knowledge for the world. You will become part of an administration with 20 colleagues, where team organization, cooperation, knowledge sharing and a positive feedback culture shape daily life. We have a common ambition to deliver a professional administration that makes a noticeable difference for the institute's staff, students and management.

You will have a workday with varied tasks, broad contact with the organization and an opportunity to develop both your professional skills and your workflows in collaboration with colleagues. We help each other, share knowledge and take responsibility for the common tasks. There are periods with high tempo, particularly up to events and important deadlines, but we also prioritise social community and a work environment where there is room for dialogue and sparring.

The position offers the possibility of remote work after closer agreement and with regard to the nature of the tasks. We plan the work with a focus on ensuring that the collaboration in the team, the institute's accessibility and the individual employee's daily life function well.
