About the job
Do you want to help support and develop the municipality's case processing and decision-making processes with ESDH at a high professional level? Do you thrive in a role where administrative processes and cross-department collaboration go hand in hand?
We are expanding Aalborg Municipality's central ESDH unit, which informally goes by the name “e-Team,” and are therefore seeking two new and engaged colleagues. The team is part of the Legal Office and is responsible for the system ownership of the municipality's ESDH solution eDoc as well as the solutions for agendas and committee processing. In addition, the team supports the municipality's use of the systems.
Your role and the job
In both positions you will work with ESDH tasks at a specialist level. In one of the two positions there is primarily a focus on tasks and procedures around the preparation of minutes and agendas for, among others, the City Council and the Finance Committee, as well as operation and administration of the agenda systems. In the other position the primary focus is on operation and development of our ESDH solution. In both positions you will touch on all task types listed below. With the expansion of the team we want team members to eventually be able to work more flexibly and across the team’s tasks.
Our goal is to help the entire organization with better support of processes related to political and administrative decisions, journaling, and knowledge sharing.
The main tasks in the two positions will be to
- support the administration's ESDH administrators and superusers in relation to access rights, error handling and questions in the use of the system
- participate in the implementation of new processes, new integrations and new features in the system
- work with compliance with legislation and rules regarding the systems – including data security, data quality and development of a concept for a business intelligence solution for ESDH
- perform and advise on journal and archival professional tasks and contribute to anchoring good administrative practice in the municipality
- draft minutes and agendas for political committees and oversee the system administration in the agenda systems
- work with communication, training, guidance and dissemination about the system to the municipality's many users.
Benefits of working with us
You will become part of a skilled, well-functioning and busy specialist team, which with you (and our other new colleague) will consist of 6 colleagues. In the team we focus, among other things, on supporting employees, managers and politicians with good ESDH features and processes for case handling, decision-making processes and documentation. You will have a great opportunity to make your mark on solving the tasks, which is done in collaboration.
The collaboration is primarily with your team colleagues - but it is also with capable colleagues across the municipality and with system suppliers. We help each other, have fun and it is always safe to come with ideas.
Our wishes for you
We are looking for colleagues who have experience with support, professional operation and development of IT systems for administrative work. It is an advantage if you have experience with ESDH or have worked with IT systems in the public sector or a larger organization.
And we imagine that you have
- Understanding of and interest in working with the political decision-making processes and the basis for decisions.
- Experience with the complexities of IT systems' compliance with legal requirements for, among others, public authorities (including GDPR, administrative law).
- Strong project and process skills – preferably obtained from a public authority.
- Good communication skills when complex topics need to be conveyed understandably to users, suppliers and partners.
- Good technical understanding and interest when systems are closely integrated with other infrastructure, other interfaces or specialist systems (e.g., user management systems, office tools, GIS systems, AULA, SAPA).
And it is also important that you are
- Engaged, collaborative and have a good drive with a desire to engage in networks with colleagues and other partners.
- Structured and good at seeing the importance of details while maintaining an overview.
- Flexible and adaptable – when a task cannot wait, but must be solved immediately or when conditions change.
- Good at collaborating in a team and at seeing the fun in the quirky.
Facts about your new workplace
ESDH (electronic case and document management) is an IT system used for journaling, case handling and process management.
Our ESDH solution is called eDoc and there are around 8,000 users of it in the municipality. In addition to eDoc and the agenda module Agenda, we also use the publishing tool First Agenda.
Aalborg Municipality, as the third largest municipality in Denmark, is a large organization. Our skilled ESDH staff work at a high professional level and we have big ambitions for the use of ESDH for journaling, support of case handling and digitized processes.
Our support to system users is organized with a superuser close to the users and an eDoc support function in each of the municipality's 6 administrations. Our central ESDH unit e-Team is the final link in the support chain, which also has supplier contact.
