About the job
Are you structured, have a sharp digital overview, and do you thrive in a diverse everyday life with both IT projects and close contact with the organization's operations? Then you might be our new Administrative Office Manager at Holstedgaard.
Holstedgaard is a self-governing institution, a psychiatric residential facility with space for 69 residents spread across several departments aged 18-100 years. Over many years we have experienced positive growth and increased volume. In line with this development, we also face increased demands for documentation, follow-up and administrative tasks. To meet these demands and raise our professional level even more, we are now creating a completely new administrative position.
At Holstedgaard we are looking for an engaged and independent administrative employee who can tie the threads of our daily life together. You will play a central role in the organization, ensuring that our administrative processes run smoothly and that our digital systems are always up to date. As we face several exciting IT projects and administrative expansions, we are looking for a profile with strong IT competencies and willingness to tackle new systems.
Your primary tasks
- System Administrator on Planner4You: You will become our internal superuser and administrator of our documentation system, where you ensure structure and data discipline.
- Website and weekly newsletter: You will be responsible for updating our website, which is undergoing a major change (and subsequent maintenance). In addition, you will be responsible for drafting and sending our weekly newsletter in collaboration with our social worker.
- Implementation of MyMedCards: You will be a driving force in the implementation and rollout of MyMedCards in the organization.
- Resident economics: You will help handle the administrative tasks around the internal bank we have for our residents.
- Offer portal: You will be trained in and participate in handling the documentation in the Offer Portal.
- Recruitment and HR support: You help to draft and publish our job adverts on various job portals when we hire new colleagues.
- Course management and planning: You help maintain an overview of the company's annual cycle. You coordinate internal and external teaching days, as well as meetings and help book external instructors.
- Other administrative tasks : You help to fill out housing contracts, pay slips and other administrative ad hoc tasks.
We imagine that you
- Have solid experience with administrative tasks and thrive in a versatile all-around role.
- Are digitally strong: You do not need to know our systems (such as Planner4You, MyMedCards or Offer Portal) beforehand, but you must have solid IT competencies that enable you to support the implementation of new systems.
- Have a willingness and interest to quickly dive into new digital topics and administrative workflows.
- Work in a structured, independent way and manage to keep an overview – even when many balls are in the air.
- Meet residents and colleagues with trust and a smile, also when you help administer the internal bank.
- Communicate flawlessly in Danish in both writing and speaking.
What we offer
- An exciting and varied position with great influence on planning your own tasks.
- A central role in our digital development, where you shape the processes.
- An workplace with an informal tone and dedicated colleagues.
- Thorough training in our systems, including the Offer Portal and our internal bank.
