About the job

Would you like to stand in the heart of the engine room for the Building Agency's strategic development? Are you motivated by creating an overview and momentum in complex development initiatives where relationships, dialogue and cross-cutting collaboration are the key to success?

Do you want to work closely with a management that actively prioritizes and drives change? Then you may be our new portfolio manager.

The Building Agency is in full swing executing a targeted strategy, driven by a number of major development projects across the business. Management desires a strong PMO function that can ensure both overview, progress and good involvement of the organisation, so we support the strategy as best as possible. Here, our new portfolio manager will play a central role in ensuring the execution of the strategy and act as the link between management and our project managers.

Therefore we are seeking a portfolio manager who is passionate about working with the development portfolio, and who can combine structure and analytical strength with strong relational skills, dialogue and collaboration across the centers.

About the role

As portfolio manager you will be a central part of the cross-functional PMO function, which:

  • Supports management in prioritising and steering the strategic development portfolio
  • Helps sub-portfolios (Business Development and IT/digitalisation) with overview, quality and momentum
  • Ensures we harvest the benefits that the projects are meant to deliver to our core business
  • Ensures that the strategic annual cycle, project models and portfolio processes are not just calendars, but used in close interaction between leadership, projects and the organisation
  • Develops our project management tools and portfolio management and ensures coherence with our strategic annual cycle, including the management of the cycle, and is responsible for our annual strategy seminar.

You will have extensive contact across the Building Agency and will often be the link between management, centers and project managers, where dialogue, sparring and relationships are essential to succeed.

Your primary tasks

In the role as portfolio manager you will especially

Create and maintain a strong overview of the development portfolio, including

  • Status, progress, dependencies and risks for development projects and programs
  • Connection to IT and digitalisation portfolio and to operations

Prepare and follow up on management's and sub-portfolio decisions

  • Prepare decision proposals and management information
  • Ensure clear follow-up and dialogue with project managers and centers after meetings

Be a relational “critical friend” for projects

  • Advise with project managers on purpose, organisation, stakeholder management and the use of the project model
  • Challenge and support so that projects have realistic scope, resources and benefit targets

Facilitate cross-cutting collaboration and coordination

  • Identify dependencies across projects, portfolios and disciplines
  • Support dialogue across the centers so decisions and prioritisations are broadly anchored

Contribute to further development of processes and governance for portfolio management

  • Develop and adjust annual cycle, meeting structures and roles to support an active and ambitious management
  • Help make portfolio management a valuable governance and collaboration tool, not just a reporting requirement
  • Development of project models and tools and ensure the PMO is part of our digital development, where we work efficiently and cross-functionally

Support work with resource management in the development portfolio

  • Support dialogue on capacity and staffing across centers
  • Consolidate and qualify resource overview and registrations.

Who are you?

We envision that you have solid experience with development projects and preferably portfolio management, project office/PMO or program management in a larger organisation, thrive in a role where relationships, dialogue and collaboration are as important as Excel sheets and models. We would like you to have a relevant education at master level or equivalent and the ability to communicate clearly and precisely both in writing and orally.

In addition we place particular emphasis on you

  • Have strong digital competencies and are curious and proactive in making PMO a part of our digital development
  • Are strong at building trust and good working relationships across disciplines, levels and centers
  • Are willing to be a sparring partner for both project managers and managers
  • Have a sense for both strategic direction and practical implementation, and can translate management's ambitions into concrete structure and action
  • Are good at facilitating meetings and processes where many stakeholders must be brought together and a direction set

Part of a team close to an ambitious management

You will become part of the Staff, more precisely the Directorate Secretariat, where we coordinate the portfolio of projects under the strategy in close collaboration with the Center for Finance and IT, among others.

Here you will join a secretariat and generalist team that works closely with the management, and where the management actively uses portfolio management to drive and prioritise development. You will therefore experience a workday where PMO work directly influences strategic decisions and the direction of the agency. Our PMO is currently one full-time position, but under development, and you will need to be a driving force in figuring out how the PMO should work going forward.
