About the job

Do you want to be part of developing and future-proofing the digital solutions that support the operation and development of Aarhus University’s campus areas? Do you want to be part of a complex organization where the interaction between business, IT, engineering and many different actors is essential? Then it might be you we are looking for for this position at AU Buildings at Aarhus University (AU).

About AU Buildings

AU Buildings is part of the university’s central administration and consists of 29 employees spread across two units: Campus Development and Staff as well as Campus Services, Engineering and Projects. There is high activity and many projects underway, and therefore the department is expanding.

AU Buildings is a specialist department that handles the university’s common functions and building systems. The department supports faculties and administration with strategic user advisory, project development and execution within planning, new construction, renovation, interior design, documentation, infrastructure, external maintenance, building law, economics and emergency planning.

AU Buildings is responsible for the operation of the university’s technical infrastructure and the monitoring of AU’s energy consumption. Sustainability, space optimization, building maintenance and future-proofing of the technical infrastructure are highly prioritized in the work – across faculties and central administration.

Project Coordinator

Aarhus University has adopted an IT strategy for the building area and has prepared sub-strategies that set the direction for the development of the area. Now the strategies must be translated into concrete initiatives, which are coordinated, prioritized and create value for the organization.

The position is newly established, and you will therefore have the opportunity to influence both its content and the development of our shared working methods. It is therefore important that you want to take responsibility for shaping the role.

You will become part of a professionally strong environment with colleagues who have great technical knowledge and solid experience within their respective disciplines. Your task will be to complement with strong project management competences, IT knowledge and business overview. You will thus contribute to making us better at prioritizing, planning, coordinating and following up on our projects and strategic initiatives. You will report to the Head of Department for Campus Services, Engineering and Projects, with whom you will work closely.

Your tasks will include

  • Create structure in the projects so that needs, requirements, deliverables, dependencies and decisions are handled in a timely manner.
  • Support colleagues with project planning, follow-up and relevant project tools.
  • Ensure cross-cutting coordination of strategies, initiatives and projects so that we think across Aarhus University and create coherence between efforts.
  • Develop common tools and methods for project management and follow-up.
  • Contribute to developing strategies and translating strategic goals into concrete initiatives, milestones and measurable results.
  • Prepare and quality-assure written material, including decision briefs, steering committee reporting, presentations and common guidelines.
  • Support administrative processes and develop workflows that make task solving more uniform, transparent and less person-dependent.
  • Keep management regularly informed about progress, challenges and interdependencies between projects and initiatives.

Projects range from implementation and further development of systems and digital solutions to projects within data, integrations, technical IT, IoT and smart buildings. There may also be cross-cutting projects relating to common documentation, standards and similar for the entire university.

Projects often have interfaces to the university’s IT organization, external suppliers and local operations organizations. You must therefore be able to navigate a complex and dynamic university organization and contribute to ensuring that projects are carried out in accordance with the university’s requirements and standards, including IT architecture, information security, operations and documentation.

Who are you?

We imagine that you have solid experience with project management, project coordination or project governance, as well as a good understanding of IT and digital solutions. You have experience in creating structure and progress in complex tasks where multiple disciplines, stakeholders and organizational considerations must work together.

You have strong drive, work independently and want to influence the development of the position. At the same time, you are able to collaborate with colleagues from different disciplines and create structure around their tasks without losing sight of the technical content.

We also value that you

  • Have strong project management skills and can translate project methods into practical solutions that function in daily use.
  • Have good IT understanding and can get into technical issues and digital development initiatives.
  • Have business understanding and can see the connection between strategic goals, technical solutions, resources and organizational needs.
  • Are strong in written communication and can produce clear, precise and usable decision briefs, guidelines and reporting.
  • Work in a structured and systematic way and thrive with administrative processes, coordination and ongoing follow-up.
  • Can create an overview of complex tasks and convey progress, challenges and dependencies in a way that supports good decisions.
  • Are good at collaborating with different disciplines and can drive progress through dialogue, clear communication and persistent follow-up.

You do not need to have a construction-technical background yourself. The most important thing is that you understand technical environments, can collaborate with specialists and have the project-related experience to create structure, progress and coherence around their work.

We offer

  • An exciting workplace with high professionalism and an informal tone.
  • Good opportunities for both professional and personal development.
  • A daily life with varied tasks and broad contact with the organization.
