About the job
Are you looking for a meaningful and motivating job where your competencies in executive support are utilized and your need for a diverse portfolio of tasks is satisfied? Then read on. We are on the lookout for a proactive and quality-conscious generalist (AC) to support the executive leadership in a 12-month maternity cover.
You will be anchored in the Directorate Secretariat, where dedicated colleagues work to solve the many tasks that come with a large directorate. The Secretariat's tasks span wide from practical and administrative handling of inquiries that come in via the hospital's overall mailboxes, meeting planning and calendar coordination – to case processing, meeting preparation, execution of events and development of robust administrative processes. You will become part of a collegial community where we all work professionally and purposefully to provide the best service.
Our leadership is ambitious and hardworking, and this sets high requirements for timely completion of our tasks and for keeping a good eye on how we can help best in daily life. It creates a dynamic and exciting workday where tasks are varied, and two days are rarely alike. Our ambition is always to be of benefit to the leadership, managers and colleagues at the hospital, as well as to our external partners. Our primary task is to solve the challenges and tasks that people approach us with – big and small.
The pace is high, but there is also room for laughter and camaraderie. We place a high value on curiosity and learning and have an open approach to new perspectives and ideas. Therefore there is also room to think anew and contribute to developing the way we work.
Your tasks
We expect your task portfolio to be diverse, and you must therefore thrive in a generalist role where you master tasks of both practical administrative, operational and strategic nature. You will take on executive support in a broad sense with a focus on ensuring that the leadership is always equipped for meetings and other activities and case handling and responding to incoming inquiries to our leadership.
Concrete tasks include
- Response to and distribution of inquiries to our leadership via the executive mailbox
- Daily ad hoc tasks related to executive support, calendar management and meeting arrangement for the leadership
- Coordination and arrangement of various types of events under the leadership
- Collaboration across our units in the staff on developing agile administrative workflows
- Guidance and support to colleagues in our EDMS system Workzone
- Contributing to developing systematic structure for our many tasks in the secretariat
Who are you
You are interested in being an important part of a larger collaboration around supporting the leadership. You are service-minded, curious and proactive – and not least action-oriented. We need an employee who can support the leadership on multiple levels, where both small details and the big overview come into play.
We, among other things, emphasize that you possess the following traits and competencies
- Have experience with management/executive support, preferably from the healthcare sector
- Are service-minded and skilled at building good collaborative relationships
- Have a high level of attention to detail and quality assurance
- Can prioritize, plan, coordinate and work in a structured way
- Find solutions, take responsibility, are proactive and follow tasks through to completion
- Are skilled at communicating verbally and in writing
- Have experience with Workzone or another EDMS system and know the journaling/systematic approach
- Contribute to good mood and a good work environment, even in busy days
- Have an academic educational background
We expect you to flexibly and proactively contribute to tasks, whether the need is practical or more strategic. We need both, and often you will find that things go hand in hand.
We will of course provide thorough training and a good handover so you get the best conditions to get started with the tasks and become part of everyday life in the secretariat.
