About the job

Are you strong in administration and can you create an overview in a busy everyday life? We are seeking a secretary for 30 hours per week for Daycare Area Midt-vest in Frederikshavn.

You will become a central administrative support for the area manager and the pedagogical leaders. With structure, financial overview and secure follow-up you contribute to a well-functioning operation and free up time for leadership and development of quality in the children's day care.

Administration, finance and close support to the leadership

Your main tasks are administration, financial overview and coordination. You help the management keep track of numbers, tasks and deadlines and ensure that agreements are followed up. You work both with common tasks for the area and with concrete administrative support to the pedagogical leaders out in the institutions.

The position also includes smaller practical tasks related to meetings and daily operations. The emphasis is on the administrative and financial support of the leadership.

Your tasks will include, among others, to

  • Support the area manager and the pedagogical leaders with administration and coordination.
  • Create an overview of tasks, agreements and deadlines and ensure ongoing follow-up.
  • Assist with postings, information and administrative tasks in Aula.
  • Work securely in the Frederikshavn Municipality's collaboration portal and KMD as well as keep relevant information up to date.
  • Handle document management, maintain overviews and prepare material for the leadership.
  • Prepare meeting material, write minutes and follow up on agreements.
  • Maintain financial overviews and support the leadership's budget follow-up.
  • Contribute to practical preparation of meetings, including coffee, and handle smaller practical tasks as needed.
  • Provide close administrative support to the pedagogical leaders out in the institutions
  • Handle procurement via True-trade.
  • Carry out voucher control, code invoices and prepare management oversight

We are looking for you who create overview and get things done

You work independently, precisely and in a structured way. You take responsibility for your tasks, see them through to the end and align priorities with the leadership when several tasks require your attention.

We emphasize that you

  • Have experience with administrative tasks and preferably a relevant office-related education.
  • Are familiar with digital tools and are keen to learn new systems, including Aula, True-trade and the collaboration portal.
  • Can handle voucher registration/conting and voucher control in KMD
  • Apply for and keep track of reimbursements from AUB and the Competence Fund
  • Communicate clearly, friendly and professionally, both verbally and in writing.
  • Can maintain an overview when several people need your help, and align expectations for tasks and deadlines.
  • Take initiative and follow up on tasks to the end.
  • Have numerical understanding and work carefully with financial information, but are also willing to solve smaller practical tasks.
  • Are discreet and handle confidential information with consideration.

You will have a versatile position close to the management in a municipal daycare area. Your contribution creates coherence in administration and a solid overview to support the leadership's priorities. In this way you contribute to good conditions for children, parents and staff.

The position is 30 hours per week with start date from 1 January 2027.

Employment process

The application deadline is 15 November 2026. We expect to conduct interviews on 20 November.

Criminal and child abuse background checks will be obtained in connection with employment. References will also be obtained prior to employment.
