About the job

Are you an experienced people leader with good financial insight, organizational understanding and strategic overview? Would you like to become an active and constructive team player in a management team that both will lift the institute's core tasks and contribute to a strong, united Roskilde University? Then you might be our new Head of the Secretariat.

Work tasks and qualifications

A head of the secretariat has three main tasks: 1) To lead the secretariat's work in supporting research, education and dissemination; 2) To manage the institute's finances and drive staff- and recruitment-related tasks; and 3) To support the institute director and deputy institute director in the strategic and professional leadership of the institute.

As head of the Secretariat you will primarily be the people leader for the institute's secretariat with 22 ambitious and skilled staff. The secretariat handles tasks related to the institute's finances and operations, support and financial management of externally funded research projects, strategic educational support, as well as secretariat functions for the institute's council and committees.

We prioritise that the secretariat is characterised by high well-being, inclusiveness and a good working environment, and you will therefore be responsible for ensuring a good task distribution, appropriate processes and an optimal organisation. It is important that you can listen, prioritise and set direction for and with the secretariat staff.

As a member of the institute management team, your primary responsibility is to support the institute director and deputy institute director by providing a knowledge base and designing processes that bring strategic decisions and development projects to life. In addition you will participate actively in cross-cutting management forums at the institute and at the university as a whole, including as a member of the Administrative Management Forum, which coordinates and supports administrative tasks across the entire university.

You will have responsibility for the overall management of the institute's finances, including responsibility for budgeting and financial monitoring in close dialogue with the institute's financial staff and the shared administrative units at Roskilde University.

Roskilde University will implement in 2026-27 a new administrative operating model, Together on the Task , which includes among other things a consolidation of educational administrative functions, but also new collaboration interfaces between institutes and the central administration. It will be an important task for you to contribute to finding good common solutions and implementing new roles, relationships and processes.

The position as head of the secretariat is complex and imposes high demands on transparency in leadership and administration. Therefore it is essential that you can make sustainable decisions under cross-pressure, design and follow up on transparent processes, that you have strategic overview and good organizational understanding, and that you find it natural to build broad and effective networks both at the institute and at the rest of the university.

Conversely, we can offer you a fun, fast-paced, challenging and developing job together with smart and ambitious colleagues.

We are looking for a candidate profile who

  • works in a structured and systematic way
  • creates good relationships and supports collegial collaboration
  • can prioritise and set direction for the Secretariat staff
  • knows how to motivate, support and develop self-led employees – both scientific and administrative
  • cares about close, daily leadership and high employee well-being

To be considered, you must

  • have a relevant educational background at master's level or equivalent
  • have leadership experience with budgeting, financial and risk management
  • have solid experience in personnel management
  • be proficient in English in writing and speaking

It would also be advantageous if you

  • have experience from the research or education sector or another knowledge-producing company or from a ministry, an agency or similar public bodies
