About the job
Can you deliver high-quality citizen service by phone and email, on behalf of two exciting professional agencies? And are you eager to join a team with helpful and competent colleagues? Then you might be our new colleague in the Danish Medicines Agency's Information Centre.
Your primary tasks
The Information Centre is the entry point for citizens, health professionals and businesses to both the Danish Medicines Agency and the Danish Health Authority.
We handle many different inquiries every day and help to find answers or ensure that questions are forwarded to the right colleague. At the same time, we support a number of administrative functions in the Danish Medicines Agency.
Your tasks will include, among others
- To answer and route telephone inquiries from citizens, businesses and health professionals to both the Danish Medicines Agency and the Danish Health Authority. This will be your primary task.
- To answer and route emails from citizens etc. in the main mailboxes for the Danish Medicines Agency and the Danish Health Authority.
- To operate the Danish Medicines Agency's reception.
- In time, to undertake other administrative tasks in the Danish Medicines Agency.
You will receive a thorough introduction to the tasks and continuously build the knowledge that enables you to help with an increasing number of questions.
Your everyday life with us
For us, helpfulness is an important part of the job – both for those who contact us and for our colleagues.
The phones are our core task. You should therefore thrive on talking to many different people and be eager to understand what they need help with. Some questions you can answer right away, while others require you to look into the matter or find the right colleague to ask. Providing citizen service on the phone places high emotional demands.
You will not be alone with the tasks. We lean on each other for sparring many times during the workday. It is completely natural to ask colleagues when in doubt, and we are there for each other in connection with difficult conversations.
We work closely with colleagues across the two agencies to provide the best possible and most useful answers.
We have a fixed structure in planning the day, which among other things ensures variation in the tasks. The workday typically starts around 08:00 and ends around 15:30.
We emphasize being a team that lifts the tasks together – and that we enjoy working with each other, even when the workday is busy.
We also work systematically with knowledge sharing and data. Among other things, we actively use AI in our daily work, and we continuously work to keep our internal knowledge catalog up to date.
Your education and experience
There is no specific educational requirement for the position. You could for example be office educated, a medical secretary, a pharmaconomist or have another relevant education or work experience.
It is an advantage if you
- Have experience with service – preferably telephone service.
- Have good administrative skills and can manage several different tasks.
- Have experience from the health care sector, a public authority or another area where you have worked with citizens or customers.
- Are eager to learn and build broad knowledge about the Danish Medicines Agency's and the Danish Health Authority's areas.
As a person you are
- Helpful and service-minded.
- Curious and good at finding answers, even when you do not know the answer in advance.
- Structured and good at organizing and coordinating your tasks.
- Good at communicating information in a clear and understandable way – both verbally and in writing.
- A good colleague who contributes to a trusting and positive collaboration.
- Confident in asking questions when you are in doubt, and speak up if something isn’t working.
We offer
With us you get a daily life with clear frameworks, but with variation in tasks , and you become part of a team where people help each other.
We offer, among other things
- A workplace where we cover for each other and help when needed.
- Good, competent and helpful colleagues.
- A thorough introduction to the job and the opportunity to continuously develop your competencies.
- A workday where you can see the impact of your work, because you help citizens, businesses and health professionals every day.
- A professional environment where it is natural to ask each other for advice.
- A workplace where you over time can build solid knowledge and become an important part of the team.
Even though we have systems and shared knowledge that support you, there is rarely a day without a question we have not encountered before. It is part of what makes the job interesting.
A colleague in your potential team
"It has been a fantastic positive experience to start in the team. I have been warmly welcomed by kind and helpful colleagues from day one, so I have felt completely safe in both my new tasks and socially. The days are rarely the same, and it is really nice to be able to spar with skilled and competent colleagues."
About the Information Centre team
We are about 10 employees in the team, including administrative staff, student assistants and an apprentice with a specialization in public administration.
Our primary tasks are to answer and route inquiries to both the Danish Medicines Agency and the Danish Health Authority, support the Danish Medicines Agency's use of our journal system and operate the Danish Medicines Agency's reception. In addition, we handle a number of other administrative tasks.
The Information Centre is a team under the Directorate Secretariat in the Danish Medicines Agency.
About the employment
If you have an office education or another relevant education you will be employed under the applicable Central Collective Agreement between the Ministry of Finance and Public Employees Organization – The State Sector (OAO-S Collective Agreement) and the organizational agreement for office workers, laboratorians and IT staff.
In the Danish Medicines Agency we make decisions in authority matters, and it is important to us that one cannot question our impartiality. Therefore, it is a requirement that you do not own shares, partners' interests, or similar in a pharmaceutical and/or medical devices company. However, you have a certain period to sell them if you currently own so-called employee shares in a pharmaceutical and/or medical devices company.
