About the job

Institute of Public Health at the Faculty of Health Sciences - Aarhus University, is seeking an AC administrative officer for a central role in the institute's secretariat. The position includes management support with a particular focus on HR and finance-related tasks. This is a permanent position with start date 1 January 2027 or as soon as possible thereafter.

As an AC administrative officer at the Institute of Public Health you will be part of a research-intensive institute. We work with a focus on generating new knowledge and developing solutions that are important for public health. Our research covers both basic and applied research, and we share a common ambition to generate knowledge and better health for all.

We place emphasis on thoroughness and quality in all aspects of our activities and on conducting innovative research that is translated into high-quality teaching. Our teaching covers public health science, sports science, health science, nursing science, related methodological disciplines and medicine.

With respect for the scientific disciplines, we prioritise interdisciplinary collaboration that strengthens research, education and innovation. And we operate with a common commitment to creating a healthy and inclusive workplace characterised by open dialogue, mutual respect and an informal tone. We believe that well-being and academic excellence are prerequisites for each other, and that both are essential for our long-term success. You can read more about the institute here and about the faculty here .

Your tasks

Your main tasks relate to the HR and finance area, where you will support and contribute to ensuring that the institute's leadership has a solid analytical basis for making decisions, following up on the institute's activities, and ensuring appropriate use of the institute's resources. In addition, you will have a special assignment to support the institute's recruitment processes. Your tasks will include both development and operational duties.

You will become part of a professionally strong administrative environment, where you work closely with the institute's leadership, staff and other administrative colleagues – including partners and colleagues in the Administration Center at the Faculty of Health Sciences.

We emphasise that you can create progress and quality in daily tasks, that you are proactive, and have a confident eye for translating decisions into action through execution and follow-up. In addition to HR and finance-related tasks, you are expected to contribute to the general secretariat support of the institute's leadership and scientific staff.

Your primary tasks

  • Coordinate and handle HR tasks in collaboration with the institute's leadership and other administrative colleagues -- e.g. in connection with recruitment and appointments.
  • Support budget planning and ongoing budget follow-up in collaboration with the institute's leadership and financial staff.
  • Prepare financial overviews, analyses and decision material for use by the institute's leadership.
  • Contribute to creating coherence between HR, finance and the institute's other administrative tasks.
  • Contribute to developing and streamlining administrative workflows in collaboration with the institute's colleagues and Health's Administration Center.

You provide an overview and have a good eye for the details that create coherence between HR and finance as well as good recruitment processes. Common to the tasks is that you must be able to work systematically, execute and follow up, and do this in close collaboration with colleagues in the secretariat and the institute's scientific staff. The exact portfolio of tasks can be adapted to some extent to your competencies and experiences. You report to the secretary of the Institute of Public Health.

Your competencies

We envisage that you have a relevant academic education, for example cand.scient.pol., cand.oecon., cand.merc. or similar. You have experience with management support of strategic initiatives and are able to translate strategic goals into concrete actions and processes. In addition you possess strong analytical skills and a good organizational understanding, as well as good written and oral communication skills in both Danish and English.

Experience with secretariat support and meeting preparation is an advantage, just as experience from public administration, preferably within the education or health sector, will be a strength.

As a person you work in a structured and responsible manner and have a natural ability to create an overview, even when tasks are diverse. You take initiative, work independently and are solution-oriented in your approach to tasks. At the same time you are a strong collaborator who can build good relationships across organizational levels and professional environments. You are flexible and thrive with a workday that includes both new challenges and recurring operational tasks. Finally you have an interest in and desire to work in a dynamic research and education environment.
