About the job

Do you have a handle on administration, procurement and finance, and do you thrive on creating structure and overview? Do you also want to help develop the work with external consultants? Then you may be our new colleague.

We are looking for an independent and structured employee who will coordinate, acquire and administer external consultants for the Danish Defence Acquisition and Procurement Agency (FMI).

You will become an important link between the organization's subject areas, procurement and financial functions, and external suppliers. At the same time you will have the opportunity to help develop an area that has great significance for the organization's task execution.

About us

Digital and Operational Transformation (DOT) was established mid-2025 and is responsible for building the future digital platform. In addition, DOT will drive the digital and operational transformation of the group.

In the near future we will focus first on building a new digital backbone (IT platform), followed by starting application migration. This also involves responsibility for architecture, data model/governance, sourcing and industry cooperation as well as cybersecurity. All of this in coordination and collaboration with military-operational authorities at home and abroad.

A program secretariat supports, among other things, the work with program planning, coordination and governance as well as the program's economy and HR.

You will be part of the Execution Department, which is responsible for developing and building Denmark's new digital backbone. The aim is to create a robust, secure and future-proof infrastructure that forms the basis for digital operation and operational coherence across the entire Defence.

You will become part of the Cloud Services section, which is building a Business Area that handles capacity management for all technological areas in the digital backbone. This includes, among other things, acquiring, supporting operations, developing capacity and purchasing and administering, among other things, equipment and consultants.

About the position

As our new employee you will play a central role in the daily coordination and administration of external consultants. You will help ensure that the organization's need for consultancy services is translated into effective acquisitions, and that the agreements entered into are subsequently administered and followed up on.

You will be responsible for driving and coordinating the administrative processes in the consultant area – from needs assessment and procurement to contract administration, financial follow-up and termination of agreements.

You will also help develop and professionalize the area through better processes, increased transparency and an overall overview of the organization's use of external consultants.

Your main tasks will be to

  • Procurement and tendering: Coordinate and carry out the administrative activities related to procurement of consultancy services, including needs assessment, preparation of requirements specifications, invitation to tender, use of framework agreements and conducting tender processes in collaboration with the relevant functional areas – with support from FMI procurement lawyers.
  • Contract administration: Keep track of consultancy agreements, including contract periods, options, extensions, changes and expirations, and coordinate the necessary case handling and decision preparation.
  • Supplier management: Manage ongoing administrative contact with suppliers, coordinate follow-up on agreements and deliveries, and contribute to handling any deviations and contractual matters.
  • Financial follow-up: Create an overview of the consultancy area’s finances, including budgets, appropriations, consumption, invoicing and expected financial development in collaboration with budget holders and the finance function.
  • Coordination and guidance: Be the organization's administrative contact point for the consultant area and help subject areas and management with guidance on processes, contract basis and relevant purchasing rules.
  • Management information: Prepare summaries, analyses and decision papers that help management to prioritize and govern the consultant area.

What can we offer?

  • A exciting position where you can contribute to the implementation and development of the Defence's upcoming digital platform.
  • Opportunity to work independently in an area with high demand and broad contact surface.
  • Participation in relevant national and international conferences and meeting forums to ensure dialogue across authorities, customers and suppliers.
  • A good working environment in modern premises with a standard 37-hour week, flexible working hours and paid lunch break.
  • Possibility of remote work.

About you

You have an academic education but do not need to have a background from the public sector or experience from IT projects. It is advantageous if you have experience with and understand the importance of having control and overview of the use and procurement of external consultants. The most important thing is, however, that you are structured, thorough and good at creating and conveying an overview.

You have an overview of many parallel and independent workflows, and can develop processes from scratch to manage, coordinate and follow up on agreements.

You work independently, but are good at sharing your knowledge with necessary stakeholders. You do not hesitate to contact colleagues and managers if you lack information or think you can contribute with something.

You thrive in an organization that moves quickly, where requirements and priorities can change from day to day.

You can handle pressure and you are prepared that your deliverables and processes for consultancy procurement are of great importance for projects with national security characteristics.

You find it motivating to be part of the team that builds the future digital battlefield for Denmark.

The employment is in accordance with the current agreement between the Ministry of Finance and several academic organizations for academics in the state (Academic Agreement).
