About the job

Are you a structured and proactive coordinator who thrives on creating an overview, driving follow-up and ensuring that daily life around top management runs efficiently? Are you motivated by a role with a large amount of contact, a high degree of independence and responsibility for confidential tasks? Do you also have an understanding of Swedish and a desire to work closely with a Swedish-speaking CEO? Then you might be the person we are looking for as Executive Personal Assistant.

About the position

As an Executive Personal Assistant you will play a central role in supporting the company's CEO. You will be the CEO's closest administrative sparring partner and play an important role in creating structure, overview and progress in a busy daily life.

Our CEO speaks Swedish, and your daily collaboration will therefore naturally take place across Danish and Swedish. It is a clear advantage if you understand Swedish and can communicate in Swedish so you can collaborate effortlessly in everyday work. You do not necessarily need to speak flawless Swedish, but it is important that you are comfortable with the language and can conduct yourself in dialogue.

You will be responsible for coordinating activities around the management, board and leadership, and ensuring that administrative processes function professionally and efficiently. In addition, you will be responsible for planning, coordinating and following up on meetings, management activities, presentations and internal events.

You will have a broad contact surface and will collaborate with colleagues and stakeholders across the organization and support a number of cross-cutting activities and projects.

Your primary tasks

As an Executive Personal Assistant you will have a varied everyday life, where you ensure structure, coordination and progress around the CEO and the top management. Your tasks will include, among others:

  • Proactive calendar management and coordination of the CEO's meetings, activities and priorities.
  • Act as gatekeeper for the CEO and ensure effective prioritization of inquiries and meeting requests.
  • Planning, coordinating and administering board and audit committee meetings, including meeting notices, materials, minutes and signing processes.
  • Preparation of minutes and follow-up on decisions from board, executive committee and management meetings.
  • Coordination and collection of materials for presentations, quarterly meetings and leadership meetings.
  • Quality assurance, proofreading and translation of material in Danish and English.
  • Planning and execution of internal events, leadership days, workshops and other company activities.
  • Travel planning and coordination of meetings, hotel stays and external events.
  • Administration of documents, policies and materials in relevant systems and platforms.
  • Support of internal governance processes and coordination of materials for relevant control functions.
  • Collaboration with HR on organizational activities, onboarding and communication.
  • Participation in cross-functional projects and ad hoc tasks on behalf of the CEO.
  • Project coordination of smaller projects as needed.

Your profile

We imagine that you have experience from a similar role, where you have worked closely with management or the board. You are used to handling many different tasks and stakeholders simultaneously and can maintain overview even when priorities change.

You thrive with responsibility, have a natural sense of structure and are motivated by being the one who makes things come together and ensures follow-up.

We imagine that you

  • Have experience as an Executive Assistant, Personal Assistant or from a similar administrative key function.
  • Have experience with coordination across many stakeholders.
  • Would preferably have experience with board or leadership support.
  • Have strong administrative and organizational skills.
  • Communicate fluently in Danish and English.
  • Understand Swedish and are happy to communicate in Swedish. Since you will work closely with our Swedish-speaking CEO, it is a clear advantage that you are comfortable communicating across Danish and Swedish.
  • Are an experienced user of Microsoft 365, including Outlook, PowerPoint, Teams and Word.
  • Have experience handling confidential and sensitive information.

Personal competencies

To succeed in the role, it is important that you can navigate a changing everyday life, stay a step ahead and at the same time maintain an overview.

As a person you are

  • Proactive and take initiative naturally.
  • Very structured and detail-oriented.
  • Service-minded and welcoming.
  • Resilient and thrive in a dynamic daily life.
  • Discreet and professional in handling confidential information.
  • Relationship-building and good at collaborating across the organization.
  • Practically oriented and motivated by delivering results and progress.
