About the job

Would you like to help make the daily ferry operations, planning, administration and collaboration around our ferries work? Do you thrive with structure, coordination and a everyday where solutions must be found continuously? Then you are the person we are looking for at Lolland Færgefart.

About the job

We are seeking an independent, structured and service-minded administrative employee who can support the daily ferry operations and eventually take on a broad range of administrative and coordinating tasks.

In the initial period a significant part of the role will be focused on shift planning and ongoing staffing coordination on the ferries to Fejø, Femø and Askø. You must therefore enjoy planning, coordinating and ongoing changes in staffing.

As you become familiar with the ferry operations, our systems and workflows, your tasks will gradually be expanded. In time you will therefore have a broader role with administrative, coordinating and development-oriented tasks within ferry administration.

You will have a central role with a wide range of contacts and will work closely with the ferries' staff, the crossing manager and the rest of the organization.

We use Team Bookings systems for route planning, booking, payment, boarding and load plans. For administrative purposes Marad, KMD systems and specially developed spreadsheets are used.

Your tasks

In the initial period your primary tasks will be

  • Shift planning and ongoing staffing coordination on the ferries to Fejø, Femø and Askø
  • Support for the crossing manager and the rest of the organization
  • Professional coordination of ferry administration
  • Preparation, maintenance and follow-up of shift plans
  • Handling changes in staffing, including illness, vacation, absence and shift changes
  • Registration and maintenance of shift plans in OPUS
  • Coordination with the ferries' staff regarding staffing and shift plans
  • Route planning and follow-up
  • Diverse administrative ad hoc tasks

Once you are familiar with the primary tasks, you will gradually take on greater responsibility for other administrative and coordinating tasks, including:

  • Administration and practice around special sailings as well as freight and goods shipments
  • Extraction and analysis of data from maritime and administrative systems
  • Record-keeping of contracts, tender materials and other documents in Asag
  • Reports to Statistics Denmark and other relevant authorities
  • Contact and coordination with customers, ferries and staff
  • Contribute to developing and optimizing administrative workflows
  • Diverse administrative tasks as needed

Tasks will be introduced and expanded continuously. The allocation of tasks will naturally change as you become familiar with ferry operations and the organization. Shift planning and staffing coordination will, however, be a significant part of the position and especially fill the first period.

About us

Lolland Ferry is part of the Department of Harbors and Traffic, which belongs to the Sector of Properties and Facilities in Lolland Municipality. The sector handles tasks within property management, green areas and canteens as well as construction and civil works.

The ferry administration in Kragenæs is part of the professional administration under the head of harbors and traffic.

The harbor and traffic area works to develop and future-proof Lolland’s ports and ferry operations. The ferry operations include routes to Fejø, Femø and Askø, which are under development and modernization.

There have been, among other things, the first steps taken to renew ferry quays and build a new electric ferry to ensure a robust and efficient ferry operation for the islands of Lolland Municipality in Smålandshavet.

You will become part of a professionally strong environment with maritime knowledge, technical insight and engaged colleagues. You will report to Head of Harbors and Traffic Jørgen Buhl and work closely with the crossing manager and the rest of the department.

We offer

  • An important role in a function of great local and societal importance
  • A central function close to the daily ferry operations
  • An informal and collaborative work environment
  • Opportunity to shape and optimize administrative workflows
  • Opportunity to develop your areas of work as you become familiar with ferry operations
  • A workplace in development where your skills are needed

We expect that you

  • Have administrative experience, preferably with collective agreements

  • Can maintain overview in a day with many parallel tasks
  • Are proficient in Microsoft Office, including Word, Excel and PowerPoint
  • Thrive with shift planning and ongoing coordination of staffing
  • Can work independently and simultaneously engage constructively in close collaboration with colleagues
  • Want to learn the maritime operations and organization

It is beneficial if you have knowledge of municipal IT solutions.

An important part of the job

Shift planning and staffing coordination are a substantial part of the role. Therefore you should expect that these activities will occupy much of your early time in the job. At the same time, the position is not a pure shift planner role. The goal is that you gradually build knowledge of the entire ferry administration and take on more administrative and coordinating responsibilities. It is therefore important that you enjoy both concrete and ongoing shift planning and are keen to eventually work more broadly with administration, coordination, data and development of ferry operations.

Salary and terms of employment

Salary according to the applicable collective agreement and principles of local pay formation. The position is expected to be placed within a total salary range of approx. 36,000 – 40,000 DKK per month excluding pension and allowances.
