About the job

Do you like structure, and do you thrive in a role where you can support others? Are you meticulous, curious and detail-oriented? Do you take pride in completing your tasks with high quality? Then you might be our new colleague in OPEN.

OPEN Administration and Project Law - service and quality at the forefront

You will be employed in the function area IT & Project Coordination, which consists of 5 teams. Your administrative tasks will be particularly linked to the two teams: Administration and Project Law, where we expect your time to be equally distributed. As an employee in the administration, you will have a natural broad contact with all colleagues in OPEN. When performing tasks in Project Law, your primary contact will be the researchers at OUH.

In both teams we put service and quality at the forefront – this applies both externally, towards the researchers we interact with, and internally in the daily administrative work.

What you will be working with

Your tasks will consist of ongoing operational tasks, various recurring tasks that need to be solved, e.g., monthly, as well as ad hoc tasks that come “crashing in” and need to be done here and now. In addition to the main areas described below, there will be both a need and opportunity to solve additional administrative tasks depending on competencies and interest.

Tasks in Project Law

Project Law handles, among other things, the registration of projects on the internal register of research and quality projects at OUH. Registrations are carried out in accordance with applicable law (GDPR and the Data Protection Act). When performing your tasks, you will pair with OPEN’s two lawyers in research law.

  • Review of registration forms with a view to entering projects into the register.
  • Registration of changes and extensions to projects in the register.
  • Registration of data processing agreements, joint data responsibility agreements and data outsourcing.
  • Clarification of agreements with researchers as well as screening of incoming emails in Project Law’s function mailbox.

Administrative tasks

You will perform the tasks in close collaboration with your administrative colleagues.

  • Registration of projects, preparation of collaboration agreements and follow-up on projects.
  • Filing of correspondence in the ESDH system Acadre.
  • Plan2Learn editor (Region of Southern Denmark’s course system).
  • Ordering refreshments for meetings.
  • Purchasing, ordering IT equipment, etc.
  • Ad hoc tasks as needed.

Tasks for the management team

In addition to the two areas mentioned above, you will also perform ongoing tasks for the management team – this could be planning and booking of meetings, help with events and similar.

Your other tasks will depend on the department’s needs, your competencies and the time available

You and your background

You are a responsible and thorough administrative employee who takes pride in performing your tasks with care. In your task solution you are structured, quality-conscious and service-minded.

In addition you have

  • Overview and ability to prioritise between your main tasks.
  • Understanding of flexibility in task prioritisation when urgent tasks must be solved.
  • The ability to understand and translate rules and guidelines into practical task solutions.
  • Understanding of and willingness to work according to applicable quality assurance systems and administrative procedures.
  • Good written communication skills in Danish and English
  • Relevant administrative education.

It is advantageous if you have administrative experience from the healthcare sector and/or experience with administration within health science research.

We offer

A central administrative position in an exciting department that places collaboration, development and community high – both professionally and socially.

You will become part of a developing workplace where your work contributes to health science research in the Region of Southern Denmark.

We ensure a tailored introduction program, where you are introduced to the tasks in OPEN Administration and Project Law as well as the department’s other employees and areas of work.

There is the possibility of remote work days by mutual agreement.
