About the job

Are you a trained clinical assistant with a minimum of one year of experience in an administrative role from dental care?

If you have experience with Child and Adolescent Dentistry, that would be an advantage. Do you want to work with telephone citizen contact and administrative tasks, send us an application.

What tasks will you perform?

  • Answer telephone calls from primarily patients and their parents

About 50% of your working time will consist of handling calls from citizens. There are telephone hours from 07:45 to 12:00. Urgent telephone inquiries must be answered during the entire dental care opening hours (08:00-15:00).

The Child and Adolescent Dentistry has a modern telephone system that supports task execution. The dental service has a goal that incoming calls are answered on average within a maximum two-minute wait. In addition, we expect that most calls are immediately clarified and thereby concluded without further case processing.

  • Administrative tasks

In about 40% of your working time, you will perform fixed administrative tasks related to, among others, the practitioners' appointment books, handling of emails to the clinic, obtaining consent, etc. These tasks are clearly described in office procedures to ensure uniformity in the dental service and compliance with applicable legislation.

  • Other administrative tasks

These administrative tasks will constitute the remaining 10% of your working time. The tasks will be assigned by the contact center staff, typically from the dental service management and from the clinics. They will be varied in nature and thus with different solutions.

Why work with us?

You will work in the dental service's contact center, located on Saxogade in Vesterbro. The contact center's tasks are administered and coordinated primarily by 1st clinical assistant Annette.

The contact center is staffed exclusively by trained clinical assistants who daily handle telephone and administrative tasks with a dental professional focus. There will be broad collaboration with the other clinics in the dental service, as well as with external partners.

There are 18 full-time clinical assistants in the contact center to handle the above tasks. Since there are many of you in the contact center every day, there is an opportunity for collaboration and brainstorming on how to solve the tasks.

The contact center consists of an office environment with small offices from single-person to four-person offices. The design emphasizes achieving as good acoustic conditions as possible, and the noise level among colleagues is constantly monitored.

You will not have a fixed office workstation, as we value that everyone can work with everyone. Therefore, staff rotate between the available office workspaces in the contact center. You must work closely with 1st clinical assistant Annette and superuser Caroline, as well as the rest of the team, to ensure coherence, solid productivity, and consistent, high quality in task handling.

The position does not include traditional receptionist duties with direct patient contact, as patients check in with their health card in the waiting rooms at the clinics. There is no possibility for citizens to physically come to the contact center.

The Dental Service in the Municipality of Copenhagen has a central administration that supports the clinics and the contact center with, for example, IT challenges, complaint handling, HR, legislation, etc. You will therefore always be able to find support and help within the organization.

Competencies

An understanding of the operations behind a general dental clinic will be a clear advantage in solving the tasks, as you will contribute to achieving high productivity by rationally booking the appointment books with an efficient flow.

In addition, you must be ready to handle the telephone duties, where a certain degree of unpredictability will always be present. A friendly and welcoming approach to all calls is a necessity, and you must have the ability to engage in constructive dialogue even in more challenging conversations. You must also be able to answer calls from English-speaking citizens.

The majority of the administrative tasks must be carried out within clearly defined frameworks, and we expect you to follow these. You must therefore be able to work in a structured manner within the established parameters. For some of the special administrative tasks that also need handling, we expect you to devise good solutions.

Salary and employment terms

We are seeking a clinical assistant for a permanent position of 37 hours per week with start on 1 December 2026 or as soon as possible thereafter. When you work in the Child and Adolescent Dentistry, your working hours will typically be 07:46-15:10 every day. In addition to five weeks of vacation and five holiday/leisure days, the dental service is closed for a further 20 days per year. These 20 closure days are accrued by a reduction in your monthly salary.

Salary and terms of employment in accordance with applicable collective agreement and within the framework of local salary formation. In connection with the employment, we will obtain a child and criminal record check and take references.
