About the job

Cross-functional support partner for the Leadership Secretariat, AUH

Are you passionate about getting complex organizations to function in practice? Do you thrive with responsibility and a daily life where many considerations must be balanced? And do you enjoy working in a management-supportive and coordinating role, where you juggle meeting invitations and optimization of workflows?

At Aarhus University Hospital we are establishing a new Leadership Secretariat, and we are seeking a cross-functional support partner (TSP) who can help lay the groundwork for the leadership-support of the future. We are looking for a TSP who is skilled at collaboration, thinks cross-functionally, and sees it as a main task to make the daily work run smoothly for our Health and Hospital Leadership.

The role requires strong coordination skills, organizational understanding, and a desire to develop smarter workflows and shared solutions. In return, you will have a great influence on how a new secretariat will work and succeed.

The job

In the role as a TSP you will gain unique insight into leading a large and complex organization. You will be close to the strategic decisions and priorities that matter for patients, employees and the hospital's partners. You will have a broad contact network across the hospital, up into the region and to the citizens, patients, partners, etc., who contact us every day. You are focused on the right and good answers and see it as an important task to maintain a constructive tone.

You will become an important part of the new Leadership Secretariat, where you, together with administrative and strategic leadership partners, share a common task to support the Health and Hospital Leadership and the heads of staff.

You will especially be responsible for a number of administrative functions across the Health and Hospital Leadership's six directors, where in your task you keep an eye on common workflows, good administrative processes across the secretariat, and where common standards and concepts can be developed. You are thus helping to ensure that the Health and Hospital Leadership can focus on leadership and strategic decisions by creating structure, coordination and coherence across the organization.

The position gives you an opportunity to influence the development of a new Leadership Secretariat, where collaboration, professionalism, shared solutions and a strong team culture are central values. We articulate how we are all dependent on each other and are each other's prerequisites for successful task execution.

Responsibilities

  • Responsible for Health and Hospital Leadership's shared calendars and annual cycle in collaboration with another TSP and the administrative leadership partners.
  • Development and maintenance of shared standards, consistent workflows and administrative concepts across the Leadership Secretariat.
  • Planning, booking and coordination of meetings, seminars, events and visits.
  • Easier case handling and coordination of responses to inquiries in the functional mailboxes for which the Leadership Secretariat is responsible.
  • Purchasing and orders in the procurement system.
  • Booking of rooms, catering, travel and other practical support.
  • Filing and document management.
  • Administrative ad hoc tasks.

About you

We imagine that you have an administrative education or are a newly graduated academic. You thrive in a management-supportive and coordinating role in a dynamic daily life and appreciate being part of a team where knowledge and tasks are shared.

You are a planning ace, think ahead and have an eye for booking and building calendars so that they are both robust and flexible.

Additionally, we would like

  • You have experience from a similar position in a large organization, e.g., in a role as executive secretary, chief secretary or another administrative coordinating function.
  • You are quick to understand contexts, dependencies and decision processes and can create an overview in complex processes.
  • You have high digital competencies and utilize digital opportunities such as MS365, Copilot and other digital tools to create efficient and cohesive administrative workflows.
  • You have a good overview and a sense of how administrative processes in a large secretariat can be organized efficiently and continually improved.
  • You work systematically and actively contribute to developing standardized workflows and common standards.
  • You are able to coordinate across management, staff and departments.
  • You work loyally and professionally and understand the importance of supporting Health and Hospital Leadership with a high degree of confidentiality, integrity and accountability.
  • You represent the organization professionally in meetings with both internal and external partners.
  • You are service-minded, proactive and independent, and communicate clearly and precisely both orally and in writing.
  • You have knowledge of relevant systems e.g. MS365, ESDH, e-Dok, ØS.

Experience from the health sector is an advantage, but not a requirement.

About us

The Leadership Secretariat consists of 8 employees, 1 student assistant, and a new secretariat manager as of 1 January 2027. We emphasize a professional, but informal working environment with high trust and a good tone. There is room for both professional ambitions, sparring, humor and collegial camaraderie.

We are currently in the process of introducing a new task distribution in the Leadership Secretariat, where support is distributed across three roles: strategic leadership partner, administrative leadership partner and cross-functional support partner. Where the strategic leadership partners primarily work with development and strategic initiatives, the administrative leadership partners focus on daily leadership support, coordination and execution of the leadership's priorities.

The cross-functional support partners are responsible for common administrative functions, standards and specialist tasks across the secretariat. They contribute to workflows that are efficient, coherent and support the Health and Hospital Leadership as a whole.

Salary and employment terms

  • Employment from 1 January 2027 or as soon as possible thereafter.
  • Employment is 37 hours/week spread across all weekdays.
  • Salary and employment terms in accordance with applicable collective agreement.
