About the job
Do you want a central role close to management in one of the country’s most specialized psychiatric centres and to help support both operations, development and important authorities’ tasks?
After almost 25 years at the centre, one of our two experienced chief secretaries has chosen to seek new challenges. Therefore, we are now looking for a new colleague for a central role in supporting the centre director, the centre management and the department heads.
As chief secretary you will be a key person in daily management support and will have a broad range of tasks, spanning from coordinating management processes and meeting preparation to handling access to information and complaints. You will have a large interface across the organisation and become an important partner for managers, staff and external collaborators.
We are looking for a chief secretary who thrives at the intersection of coordination, administration, relationships and development. A colleague who can create an overview in a complex daily life and at the same time contribute to developing the processes and forms of collaboration that best support our leadership and clinic.
About the position
As chief secretary you will become part of a strong administrative community and have a close collaboration with the centre’s other chief secretary. Together you contribute to ensuring that leadership tasks, decision-making processes and administrative tasks are solved professionally and efficiently.
You will have a central role in leadership support and will be an important partner for the centre director, centre management and department heads. Your tasks range from classic executive support and coordination of cross-cutting processes to independent handling of access-to-information requests and complaints as well as support for the centre’s development activities.
You will also have a close collaboration with management, clinicians and administrative key functions to ensure high quality, correct case processing and timely follow-up.
A significant part of the role consists in supporting the management’s meeting activity. You must therefore thrive on coordinating meetings, preparing agendas, writing minutes and ensuring systematic follow-up on decisions and agreements.
Your tasks
Your tasks will include, among others
- Secretarial support to the centre management
- Support for one department management in their daily task execution
- Planning and coordination of meetings, including booking, meeting preparation and practical support
- Preparation of agendas, decision minutes and follow-up on agreements and decisions
- Administrative support for the centre’s leadership development activities
- Independent coordination and handling of access-to-information cases
- Preparation and quality assurance of presentations, notes and other material for the management
- Cross-cutting administrative tasks in collaboration with the centre’s leaders and staff functions
We imagine that you
- Have experience with management support in a complex organisation
- Work in a structured and independent way and are able to create an overview of many simultaneous tasks
- Are strong at coordination and follow-up and ensure progress in tasks and processes
- Communicate clearly and professionally both orally and in writing
- Are good at building relationships and collaborating across professional groups and management levels
- Have an eye for both detail and context
- Thrive in a workday where tasks range from operations to development
- Are eager to actively contribute to the development of our management support
- Thrive with tasks that require a high degree of independence, quality, confidentiality and professional judgment
- It would be an advantage if you have experience from the health sector or another large public organization
We offer
- A central role close to the centre’s leadership
- An exciting and varied job with wide contact network and considerable independence in task execution
- Skilled and engaged colleagues
- A close collaboration with an experienced chief secretary colleague
- A workplace characterized by collaboration, trust and development
- Good opportunities for professional and personal development
- Opportunity to contribute to the development of management support in the coming years
