About the job

Do you like making things come together? Are you the type who both makes the plan and follows up on whether we actually carry it through to the end? And would you like to get close to the management and the development of a large municipal workplace? Then this might be you we are looking for at the Center Secretariat in the Center for Areas and Properties.

We are seeking a development consultant who can help us keep track of some of the tasks that cross the entire center. You will, among other things, play a central role in the center's MED work, act as the point of contact for inquiries from citizens and partners, assist with written communication – and together with us help make both everyday life and the community function smoothly.

What we can offer – your concrete tasks

You will become part of the Center Secretariat, which supports the management and the four other departments in the Center for Areas and Properties. We work with many different tasks and have extensive contact both internally in the municipality and towards citizens and partners.

One of your most important tasks will be to be secretary for the center's MED committee with the center manager at the head.

MED is the municipality's cooperation system between management and employees and deals, among other things, with working conditions, the working environment, well-being and development of the workplace. It is here that management, employee representatives and safety representatives meet about some of the topics that have great significance for employees’ daily lives and for the center's development.

You will come very close to this work. You will, among other things

  • plan the MED meetings for the year and ensure progress in the annual cycle
  • prepare agendas in collaboration with the center manager and other relevant colleagues
  • participate in the meetings and follow up on decisions and agreements
  • ensure that the relevant information subsequently reaches the appropriate employees and managers

It requires both structure, situational awareness and interest in how an organization functions. In return, you get an exciting insight into leadership, collaboration and the development of a workplace.

You will also be the point of contact for inquiries to the center. It can be citizens, companies or others who contact us with questions where it is not always obvious who should respond. Sometimes it takes a bit of detective work to figure out what the matter is really about, who should be involved, and how we ensure that the inquiry does not fall between two stools. You do not necessarily have to know the answer yourself. But you should be keen to find it.

In addition, your tasks will include, among other things

  • write notes, information texts and other written products
  • prepare presentations and help to simplify and clarify complex messages
  • assist with planning and follow-up on various cross-cutting activities
  • assist the department head with the development of the Center Secretariat
  • help create coherence and community within the department and across the center

The latter could be many things. One day it is about contributing to the development of our internal workflows. Another day it is about organizing the center’s annual day. And occasionally it is you who reminds us that a colleague has a birthday.

In other words, we are looking for a colleague who both has an eye for the organization, the task and the people around them.

What do we expect from you?

You are probably one of those who like to make a plan. Not because the plan is an end in itself, but because it makes it easier for everyone to know what will happen and when.

And you don’t stop when the plan is made. You also follow up, politely nudge colleagues and help get things to the finish line.

We imagine that you

  • are structured and have a good overview – even when several things happen at once
  • are proactive and react when you notice something that does not hang together
  • take responsibility for pushing tasks forward and do not wait for others to tell you what the next step is
  • write clearly and precisely and have an eye for the recipient
  • are good at or have an interest in making presentations
  • are good at collaborating with many different people and areas of expertise. The center includes everything from lifeguards and gardeners to engineers and building designers
  • have organizational and social understanding and can navigate contexts where there may also be confidential information
  • are enthusiastic about both the big and the small tasks – and can see the value in both

You have a relevant higher education degree. This could be in social sciences, communication, organization or public administration, but the exact field of study is not decisive for us.

Your way of working and your personality matter more. You can therefore be a recent graduate or have some years of experience. The important thing is that you want to learn, take responsibility and think that the combination of organization, people, coordination and communication sounds exciting.
