About the job

Can you keep a cool head, set direction and get people and processes to work together when things are moving fast? Are you driven by ensuring coherence and coordination across an organization? Are you good at building trusting collaborative relationships with many different stakeholders? Then you might be the person we are looking for as our new Office Manager in the Minister's Secretariat.

Your new workplace

In the Ministry of Immigration and Integration we deal with questions such as

  • Who may enter and reside in the country?
  • How do we ensure that foreigners contribute to and participate in society?
  • How do we ensure that people without legal residence leave the country?

These are important questions that every country must address – and they are precisely our core tasks.

You can read more about our core tasks and our ministry here .

Minister’s Secretariat

The Minister’s Secretariat is, to put it plainly, the control room of the entire ministry and consists of the minister’s and the permanent secretary’s front office, a press unit and a policy management team. The Minister’s Secretariat must ensure cross-cutting coordination and coherence in the ministry’s work, both internally within the ministry and externally in relation to the Parliament, other ministries and the press.

Your role as Office Manager

You will be responsible for ensuring a well-functioning, efficient and coherent operation of the Minister’s Secretariat. You must create the framework for the secretariat to support the minister, the permanent secretary and the rest of the directorate professionally and efficiently – and at the same time actively contribute to the ministry's strategic priorities.

You report to the head of the Department for Citizenship and International Workforce, and you will also have ongoing dialogue with the minister, the permanent secretary, other department heads and office managers in the department and managers of ministerial secretariats and press units in other ministries.

You will have personnel responsibility for about 12 employees. The team comprises different professional backgrounds and profiles; most have an academic or journalism background, but there are also experienced administrative assistants in the office.

Your tasks

Your primary tasks will be to

  • Ensure efficient workflows and processes across the minister’s secretariat so tasks are completed on time, with high quality and with an eye to both political priorities and daily operations.
  • Develop the Minister’s Secretariat with a focus on an engaged and trustful collaboration culture across the front office, press unit and policy management team.
  • Ensure solid and well-functioning collaborative relationships both internally in the ministry and externally with, among others, the Parliament, the press, other ministries and other central partners.
  • Support effective knowledge sharing and information flow in the minister’s secretariat so the right information reaches the right people at the right time.
  • Maintain overview and ensure progress in a daily life characterized by many concurrent processes, tight deadlines and shifting priorities.

About you

You have a relevant academic education, e.g. in political science, law or another social science field. You have a solid understanding of the political and administrative work in a ministry and highly developed competencies in political servicing, coordination and leadership, and you understand the particular interplay between politics, administration and organization.

We imagine you will succeed in the position if you recognize yourself in the following profile:

  • Have an eye for the whole – and a sense for the engine room. You can lift your head and see the strategic connections, but you are also interested in the concrete workflows, processes and people that make an organization work.
  • Create structure, progress and clarity. You are process-oriented, can create an overview of complex tasks and many concurrent processes, and you have the ability to cut to the bone, prioritise and set a clear direction.
  • Maintain calm when tempo increases. You thrive in a daily life with short deadlines, shifting priorities and many considerations, and you manage to keep a cool overview and ensure progress – even when things speed up.
  • Be a team player who helps others succeed. You believe that the best results are created together, and you actively contribute to a culture marked by trust, knowledge sharing and joint responsibility for the core task.
  • Be service-minded with a view to both people and the task. You have a natural understanding of supporting the minister, the permanent secretary, the management and the organization around them and you find solutions that are both practically applicable and academically solid.
  • Navigate confidently in the political landscape. You have political acumen, well-developed relational skills and organizational understanding and you can achieve results through clear dialogue and collaboration with many different stakeholders.

You are a leader with a view to the common good

In the Ministry of Immigration and Integration we work from a shared leadership framework that provides direction and coherence in our leadership practice across the whole group. We lead from four themes: leadership of the task, leadership across, leadership of learning and leadership of people.

Our leadership is built on clear direction and prioritization, expertise, knowledge sharing and cross-functional collaboration plus a sustained ambition to develop our employees – both professionally and personally.

It is therefore important that you can see yourself in our four leadership themes. You have an eye for the whole, take responsibility for joint solutions and are aware of how you influence collaboration, motivation and well-being – both in your own directorate and in our overall group.
