About the job

One of our colleagues in the kidney team has changed teams, which means we now have the opportunity to offer a new colleague a position in our smallest team.

If you find this exciting – read on – and you may feel like applying for the position right away, or come out and visit us here at the Department of Urinary Tract Diseases at Herlev

The position is with purely daytime shifts and 30-37 hours per week – but preferably 37.

Who are we

We are a large, multifaceted and engaged medical secretary group, who look forward to welcoming yet another skilled medical secretary/health administrative coordinator colleague.

About the position

In the kidney team there are fewer patient attendances than in the department’s other teams. On the other hand, we play a central role in connection with our MDT conferences and internal conferences, where patient pathways are assessed and planned.

At our kidney MDT conferences you participate as a secretary, and play a central role along the way. You type on the big screen according to the doctors’ dictated notes and ensure to note down along the way, e.g. which letters or which times the patient should have afterwards. After the conference you speak with our care coordinator, who is also present at the conference, in order to ensure the patient pathways. It is you who creates the initial workflows ahead of the conference, and likewise it is you who takes care of the follow-up.

MDT conferences are essential for the kidney team and as a new secretary in the team it is therefore crucial that you want to write directly and be a bit in the center. In return you will become a valued member of the multidisciplinary team in connection with the conferences.

It is important to emphasize that you will not be released on an MDT alone until we are sure you are flight-ready. In the first months you will only be at the conference with an experienced colleague. We currently have two secretaries who have a conference once a week each.

The meeting time we will discuss – but it will lie between 7:30 - 15:30. In addition there are good possibilities for home-working days after 4-6 months of employment.

A workplace with structure and development

As a new member with us you will be assigned a mentor, with whom you communicate even before you start. An introductory program will be laid out and continuously adapted specifically to you. It is aimed that most of the onboarding in the beginning happens with the mentor and 1-2 other colleagues to ensure continuity and quality in the onboarding.

We work in teams in multidisciplinary teams - and are organized with Anita as the health administrative leader.

In each of our teams we have a secretary holder who is responsible for the daily distribution of our tasks. The three team specialists with us at Herlev are kidney, prostate and urothel (bladder).

In addition to the fixed tasks in each team, we have joint tasks that run in rotation between the three teams – which ensures variation and competencies.

We work based on daily lists/visit lists, which means that we finish the individual patient when he/she has been in the outpatient clinic. We book, register, code, apply pathway markers, maximum waiting times, cancer pack coding, etc. This means that we “go all the way around the patient” in one workflow. Similarly, we follow up patients from our inpatient ward, where we in the same way go all the way around the patient, register operation codes and send discharge letters/epicrises to the patient’s GP. We have fine-tuned our workflows, evaluate and adapt them continuously – which means they are top-tuned.

We regularly have mono- and multidisciplinary team meetings, and four times a year there is a secretary meeting with attendance/on Teams, where everyone participates.

In our department the health administrative competencies are highly valued by both management and our multidisciplinary partners - and formal education for us is arranged continuously. Anita places high value on competence-building education, so many of us have taken relevant modules in health communication. In addition, the department participates continuously in the education of health administrative coordinators.

The department holds a multidisciplinary day in September, where everyone participates, just as we have a Christmas party every year in November. You can still join the Christmas party in 2026 if you are fast.

Since we are a highly specialized urological department with the resulting high complexity of task solving, we would very much like you to

  • be educated medical secretary/health administrative coordinator (this is actually non-negotiable)
  • be responsible
  • can SP – or have the potential and desire to learn it
  • can write according to direct dictate (at our conferences)
  • work structured and have an overview, also in pressured situations
  • both can work independently and in a team
  • value multidisciplinary work and be proactive
  • be good at prioritizing and changing focus quickly (important)
  • dare to express your opinion and ask questions
  • be solution-oriented
  • have a "team spirit" and good communication skills
  • be welcoming

With us you get

  • experienced, skilled, engaged and, not least, nice colleagues
  • thorough onboarding tailored to you
  • a good and respectful tone of voice
  • collegial care and space for a good laugh
  • good multidisciplinary collaboration
  • good opportunities for home-working days
  • Introduction program with mentorship after onboarding principle
  • Experienced coordinators and function leaders
  • Medical secretary professional leadership
  • A listening and present department management
  • Ongoing specialty education for the secretary group
  • Personal competence development program with good opportunities for further education

The position is wanted to be filled on 1.12.26 or as soon as possible thereafter.

If you like what you have read, you can either hurry to send an application, or contact Anita at tel. 38689508, or email [email protected]

You are also very welcome to come by for a chat and a look before you send your application – just write or call Anita and arrange a time .

Application deadline: Wednesday 28.10.26, - but we hold interviews on an ongoing basis – so please do not hesitate to contact us until the last moment!
