About the job

Institute for Clinical Medicine at Aarhus University’s Faculty of Health Sciences, SUND, seeks an advisor for management support as of January 1, 2027 or as soon as possible thereafter. The position is a permanent full-time position.

As an advisor you will be part of a well-functioning and engaged secretariat at the Institute for Clinical Medicine, which consists of 10 skilled employees with different backgrounds. The secretariat supports the institute's management and research environments across research, education and administration and plays a central role in the development of the institute.

You will have close cooperation with the institute management and become an important sparring partner in both daily operations and in the development of new initiatives. At the same time you will be part of a collegial community, where we help each other, share knowledge and solve tasks in close collaboration.

Your tasks

You will be responsible for supporting management decisions, driving processes and ensuring progress in cross-cutting initiatives. The position combines strategic management support with operational administrative coordination and operations, and you will have a broad touchpoint across Aarhus University and Region Midtjylland.

The composition of your tasks will depend on your experience and your competences, but we imagine that they among other things will include:

  • Advice and management support to especially one of the institute's four vice-institute leaders
  • Meeting support, including planning, preparation of agendas, decision proposals and follow-up on decisions
  • Planning and execution of recruitment processes for scientific positions in close collaboration with managers and administrative partners
  • Strategic and administrative support of the institute's university clinics and the collaboration between the university and hospitals
  • Project management and coordination of cross-cutting development initiatives
  • Case handling in relevant administrative systems such as the State Recruitment System, mitHR and Workzone.
  • Contribution to the development and optimization of workflows, processes and collaboration interfaces

You report to the secretariat leader Maria Røjkjær.

Your competences

Your educational background is not decisive, but we would like you to have experience with management support, coordination and complex administrative processes.

You thrive in a role where you both support daily operations and contribute to the development and improvement of processes and collaborations. You are proactive, take responsibility and thrive in tasks that vary between daily operational tasks and strategic development tasks.

Institute for Clinical Medicine is Aarhus University’s largest institute and has close collaboration with hospitals in Region Midtjylland. Therefore you will have a large contact surface and many partners. It is important that you enjoy working across disciplines and organizational boundaries, that you are good at building relationships, and that you can function as a natural bridge-builder between different stakeholders.

In addition we place emphasis on that you

  • work in a structured and independent manner
  • can create overview and progress in complex processes
  • have both political and organizational savvy
  • have good collaboration and communication skills
  • can translate ideas and decisions into concrete actions
  • are curious about how workflows and processes can be improved
  • thrive with both strategic and operational running tasks

We expect you to speak and write fluent English.
