About the job

At the Aarhus Institute of Advanced Studies (AIAS) we are looking for a new colleague who is keen to be the first line of contact for guests in the house, and to help create a positive and well-functioning environment at an active, international workplace.

Opgaver og ansvar

As a receptionist at AIAS you will handle many different tasks. You will have a fixed workspace in the reception area and the associated conference facilities. You will thus be right there where it all happens. You should enjoy interacting with many different people from different nationalities. It is therefore required that you are proficient in English, both written and spoken.

You will become part of AIAS’s secretariat and the tasks will vary throughout the year. You should be willing to take on practical tasks related to the operation of the house, such as preparing for meetings/conferences, coffee brewing, cleaning up and dishwashing, greeting guests, ordering goods, answering inquiries by email and in person, assisting the researchers with incidental practical tasks and much more.

You will be responsible for booking rooms in the house, and therefore you need to be good at keeping an overview and being well organized. Much of the administrative work takes place in the Microsoft Office suite, and it is therefore a prerequisite that you have experience using programs such as Outlook and Excel. In general, we expect you to be used to and comfortable with working in various IT systems used by the university.

It is also important that you have a well-developed service mindset and thrive with diverse tasks in a dynamic and international environment.

You will come to be part of an international environment with many interesting colleagues, and you will have the opportunity to gain insight into a unique, interesting workplace at Aarhus University, where each day offers new experiences and insights.
