About the job

In Data and Automation at OUH we are seeking a registrations consultant for a 3-year project position focusing on the transition of the clinical quality databases from manual to automated reporting. The purpose is to ease the registration workload for the clinical departments. This is done by phasing out external reporting systems to the databases primarily to deliver the data that is already registered in the EPJ SYD.

The transitions require close coordination between clinical departments, registration professionals, the Health Administration, Clinical IT and regional partners. We therefore seek a colleague with solid registration expertise who can tie the threads together, create overview and ensure progress in a complex task across disciplines and organizations.

Who are we

Data and Automation is a unit in the Support Function Economics and Data at OUH. The unit's core tasks relate to

  • Input data – registration rules, data quality and correct use of the electronic patient journal system (EPJ SYD) and patient administration system (PAS)
  • Output data – management information, decision support and analyses for clinics, management, researchers and partners
  • RPA – software robots that support clinical and administrative workflows

Due to our broad range of tasks, we organize work in task communities across professional disciplines. We do this to

  • create robust solutions where several can lift and carry the tasks forward
  • ensure close professional sparring in day-to-day work
  • support development and knowledge sharing across

We place emphasis on collaboration, professionalism, development and work closely with clinical departments, support functions and regional partners.

Responsibilities and tasks

The position is anchored in Input data and aims to coordinate the transition of the clinical databases at OUH and ensure alignment with regional work.

The clinical quality databases should increasingly be based on information already registered in EPJ SYD and reported to LPR, rather than manual entry directly into each database or in external reporting systems. This requires that the databases' needs are translated into correct registration practices, and that the relevant professional groups collaborate to find the right solutions.

You will become a central coordinator in the work and collaborate closely with the registrations consultants, who have the specific registration knowledge in the individual areas. The Health Administration will be one of your closest collaborators with their knowledge of registration to the databases and use of the databases’ results in the quality improvement work in the clinical departments.

In addition you will collaborate with Clinical IT on the system possibilities in EPJ SYD, with the clinical departments on clinical needs and with Regional PAS management and regional working groups on coordination and common solutions across the hospitals.

Your main tasks will include, among others, to

  • coordinate the transitions of the clinical quality databases at OUH and create an overview of each database’s needs, activities and dependencies
  • ensure progress through planning and follow-up on tasks, agreements, decisions and deliveries
  • coordinate the dialogue between clinical departments, the Health Administration, Data and Automation and Clinical IT
  • coordinate OUH's work with regional administrations and participate in regional working groups to seek common solutions and uniform registration practices across the hospitals
  • document relevant clarifications and decisions and ensure that the involved parties have a shared overview of status and next steps

The position offers the opportunity to work with concrete registration-related issues and to drive a larger transition task forward. You should be able to delve into the professional details while maintaining an overview and ensuring the right people are involved and that work moves forward.

It is the clinicians’ responsibility to ensure clinical accuracy in the information registered. Your task will be to contribute to ensuring that registration practices support the databases’ needs and that national requirements and criteria for reporting to LPR are complied with. It also includes ensuring that necessary registration clarifications are made in collaboration with the relevant professionals.

Who are you

We imagine that you have a relevant health administration or health professional education – e.g. as a medical secretary or health administration coordinator – or equivalent experience with registration and patient administration workflows in the health sector.

It is important that you have solid registration expertise and preferably knowledge of LPR and EPJ SYD. You do not need in-depth knowledge of all clinical databases, but you must be able to understand new areas, recognize registration issues and collaborate with specialists to find solutions.

It is an advantage if you

  • have knowledge of registration rules, LPR, EPJ SYD or similar patient administration systems
  • can create an overview of complex issues and translate them into concrete tasks and agreements
  • have experience coordinating collaboration between clinical departments, administrative functions and other professional groups
  • have an interest in health data and an understanding of the relationship between registration, data foundations and the use of data

You should thrive in a cross-disciplinary organization where you both can delve into registration details and coordinate tasks across disciplines and organizational boundaries.

In addition we emphasize that you

  • work independently, structurally and systematically
  • take responsibility for progress and follow up on agreements
  • can maintain an overview in a complex task with many involved parties
  • are good at building relationships and bringing together different professional perspectives
  • communicate clearly and can convey problems so that they become understandable and manageable for others
  • work solution-oriented and dare to ask questions when something needs clarification
  • contribute positively to collaboration, professional sparring and knowledge sharing

Employment terms

The position is a 3-year project position and is intended to be filled on January 1st or as soon as possible thereafter.

The region is obligated to inform you of the starting salary for the position. You will be told the base salary, centrally set allowances and pension in HK Administration and IT personnel, etc. In addition to the starting salary, the pay may include any negotiated allowances depending on the position, your experience and qualifications.
