About the job

Are you engaged, structured and proactive?

Then you may be the person we are looking for for a versatile position, in close collaboration with the department management and the leadership team, to benefit the Pathology Department's crucial functions in the patient pathways.

We are seeking a department management secretary who takes responsibility for a wide range of administrative tasks and contributes to ensuring that the department management and the leadership team receive the best possible administrative support.

You will have a varied daily life, where some tasks are planned and recurring, while others arise along the way. This requires you to keep an overview, be proactive, prioritise and find good solutions, also when plans change.

Experience from a similar position or tasks is highly prioritized, but most important is your engagement, a sharp overview, structure, a can-do attitude and the desire to learn new things and take responsibility.

Your tasks

Your contact network will be broad, and you will work closely with both the department management, the leadership team and the department staff.

Your tasks will include, among others

  • Prepare various meetings, prepare agendas and minutes and follow up on agreements/deadlines, including calendar management for the department management.
  • Prepare presentations, case descriptions, notes and the like.
  • Handle, plan and follow up on HR-related and other personnel administrative tasks (recruitment, sick leave, etc.).
  • Manage financial administration, including overview, invoicing and follow-up, etc.
  • Assist with registration and administrative tasks related to duty roster planning.
  • Contribute to ensuring good handling of the department's shared email and similar.
  • Take care of administrative tasks in connection with complaints and compensation cases.
  • Handle course registrations.
  • Take responsibility for solving larger and smaller ad hoc tasks, both practical and administrative.

You will be part of the secretariat/staff where we collaborate on tasks and help each other to make everyday life run smoothly. You will work closely with the department's current department management secretary, and together you will contribute to a good and coherent support of the department management and leadership team.

You will report to the department's health administrative head.

Who are you?

We primarily value your engagement and your approach to the tasks. You do not need to be able to do everything from the start, but we expect that you have experience with some of the described tasks, that you want to learn and are willing to take responsibility for tasks – now and in the future, depending on the needs related to the department's development and the establishment of Region East Denmark.

Our expectations of you are that you

  • Have a relevant administrative education or experience.
  • Work in a structured way and have an eye for both details and the whole – and the ability to have both short- and long-term focus.
  • Can plan and prioritise your tasks and maintain an overview, even when tasks and daily life become complex.
  • Take initiative, are proactive, follow up and ensure that tasks are completed.
  • Can acquire and independently obtain relevant knowledge.
  • Are approachable and have good cooperation skills.
  • Articulate yourself precisely and clearly – both verbally and in writing.
  • Have a flair for IT and administrative systems, e.g., financial and HR systems.
  • Handle confidentiality and sensitive information correctly.

You should thrive in a daily life where you work both independently and in close collaboration with others. We will ensure that you are introduced to the tasks and given the opportunity to acquire the necessary knowledge.
