About the job

Specialist consultant for research administration at the National Center for Artificial Intelligence in Society (CAISA)

Job Description

We are seeking a proactive and dedicated project coordinator for a central role in CAISA's secretariat.

The position is a permanent full-time role with start date 1 December 2026.

Your tasks

The National Center for Artificial Intelligence in Society is seeking a project coordinator for the centre's secretariat. In the position you will have a central role in the administrative support of research, research collaborations and the centre's strategic development. Your daily workplace will be at Aalborg University Innovate in Aalborg East and you will work closely with the centre's management and the other staff in the secretariat. The position is organizationally anchored at the Department of Architecture and Medieteknologi, CREATE.

A substantial part of the role consists of coordinating and further developing the centre's fellowship program, including contributing to the program's strategic direction. You will ensure coherence in the pathways for the affiliated fellows, from application and selection to onboarding and ongoing follow-up. You will become an important contact person for fellows and contribute to creating good conditions for both the professional and social community around the program.

You plan, coordinate and implement the centre's monthly research seminars as well as other meetings, workshops and professional events. In addition, you will prepare minutes, reports and other documentation that supports the centre's work. You will also handle administrative tasks related to financial and budget follow-up, contribute to the build-out and operation of CAISA Hub in Aalborg, and perform research-supporting tasks across the centre's activities. The position gives you the opportunity to influence how administrative workflows, forms of collaboration and activities are developed in step with the centre.

Your competencies

You have a relevant academic education and preferably experience with research administration or other research support, for example from a university, a public organization or a research-oriented organization. You can work analytically with complex tasks and translate many simultaneous inputs into clear processes, manageable plans and relevant follow-up.

You communicate clearly and precisely in Danish and English, both when you collaborate with researchers and management, and when you prepare written material. You have a keen eye for detail, while being able to maintain an overview of tasks, deadlines and dependencies. It is important that you can work systematically and independently, take responsibility for progress and continually align your priorities with your closest collaborators.

You will have many points of contact in the role and must therefore thrive in collaborating with people with different professional perspectives and ways of working. You meet others in a friendly manner, follow up on agreements and can handle tasks that arise on short notice without losing sight of the activities that are already planned.

Who are we

The National Center for Artificial Intelligence in Society brings together researchers and partners across disciplines to create knowledge about artificial intelligence and its significance for society. In the secretariat we support the centre's research environment, activities and collaborations and work closely with researchers, management and external actors.

You will become part of an international and interdisciplinary environment where you will have a visible role in creating good frameworks for research and scholarly exchange. We collaborate closely in daily work, share knowledge and provide space for individuals to influence their tasks. The position offers good opportunities for professional development through collaboration with renowned researchers and through participation in the centre's activities, seminars and strategic work.

CAISA has activities in both Aalborg and Copenhagen. The position is located in Aalborg East at AAU Innovate. There will be meetings and seminars in Copenhagen.
