About the job

Do you want to work closely with DTU’s top management and help ensure that the board and daily management have a solid basis for decisions? Are you a strong generalist who can create overview, convey clearly and drive processes safely to the finish line? And are you interested in research and education policy? Then you may be our new colleague.

We are seeking an administrative officer for DTU’s policy office, where you will play a central role in supporting the university’s highest leadership. You will come close to the processes and decisions that set the direction for one of Europe’s leading technical universities and contribute to the work with both the board, the rector and the rest of the daily management.

You will be part of a management secretariat, where tasks range from meeting and decision support to political analyses, coordination and dialogue with stakeholders. This could include, for example, planning an annual education and research policy top meeting, participation in Folkemødet, supporting research evaluations, board meetings and administration of smaller foundations.

A broad generalist role close to DTU’s leadership

In the position you will have a varied portfolio of tasks and close collaboration with colleagues in the office and across DTU. You should be able to switch between thorough preparation of briefing materials for the leadership, secure process management and tasks with tight deadlines. It requires good judgment, an eye for the organization and a sense for both content, process and relations.

Your tasks will include, among other things

  • Support for daily leadership: Contribute to the preparation of meetings, visits, conferences, Folkemødet and other leadership- and policy-related activities.
  • Board support: In close collaboration with the board secretary, assist in preparing board meetings and handle various ad hoc tasks in connection with the four annual board meetings.
  • Administrative tasks and projects: Manage and coordinate administrative tasks and projects across the office’s areas of responsibility, including foundation administration, handling of doctoral theses and research evaluations.

You thrive at the intersection of leadership, policy and coordination

We expect you to have a relevant social science or other academic master’s degree, and 3–4 years of experience from a politically led organization, a ministry, a agency, an interest organization, a university or a similarly complex organization.

You are a strong written communicator who can transform complex material into clear and targeted messages. At the same time you have an eye for both details and the bigger picture and can create structure, progress and quality in tasks with many stakeholders and tight deadlines.

We also imagine that you

  • have a sense for practical planning and coordination and take responsibility for making sure that meetings, visits and events run smoothly in practice
  • have political understanding, organizational judgment and can navigate in an organization with many considerations and stakeholders
  • can quickly get up to speed on new topics and switch between analytical, coordinating and administrative tasks
  • take responsibility and initiative while collaborating closely, sharing knowledge and contributing to joint deliverables
  • thrive close to the leadership, where quality, confidentiality, flexibility and timely delivery are essential
  • have an interest in research and education policy and in universities’ role and significance in society

You will report to the head of the policy office and work closely with both experienced management consultants and other colleagues to support DTU’s top leadership.

About the office

You will be part of an office with about 12 staff in the Department for Policy and Relations. The office supports DTU’s board, board chair, the rector and the executive management and works with leadership support, governance and supports the ongoing dialogue with politicians, authorities and stakeholders. We solve the tasks in close cooperation with faculty departments, institutes and other units across DTU.

We place a high emphasis on professional quality, good collegiality and a professional, trust-based collaborative culture. You will have responsibility and opportunity to develop in the role, while having access to ongoing sparring with experienced colleagues and leadership.

Salary and employment conditions

Salary and employment terms in accordance with the state agreement for academics. You will be employed as an administrative officer. Additional allowances can be negotiated in accordance with DTU’s pay structure for AC TAP: https://www.inside.dtu.dk/human-resources/under-ansaettelsen/loen/loenstrukturer
