About the job

Would you like to work with coordination, compliance and governance in an office with a wide variation in tasks? Are you structured, curious about finances, strong in writing and good at writing correctly and formally with an eye for detail? Then you could be our new colleague.

Our office

The Office of Digital Channels has 25 employees and is located in the Development and Simplification Agency (UFST), which is part of the Tax Administration. We work with IT solutions for the entire Taxation and Growth Ministry's group and thereby deliver solutions to all citizens and companies in Denmark. This means that we are the link between the Taxation and Growth Ministry and the surrounding society. We have a strong focus on delivering value to our customers within the Taxation and Growth Ministry's group as well as to citizens and businesses.

We have different educational and professional backgrounds with a broad age range, from recent graduates to colleagues with more than 30 years of experience. This creates a dynamic and creative work environment where learning and job satisfaction are highly valued. The office has a good atmosphere and an informal tone of voice, even when we are busy.

About the position

You will handle a range of tasks across the office and report directly to the office manager, who – together with the deputy manager – you will also collaborate closely with. Your areas of work will include, among other things:

  • Steering group, portfolio and system board operations - coordinate and prepare annual calendars, meeting materials (agenda, materials and minutes) and ensure professional and structured processes for this
  • Finance - coordinate budgeting, expense follow-up and ensure the office adheres to frameworks and handles any cost overruns. Assist with budgeting, invoice handling and ongoing financial follow-up, ensure invoice documentation and assist with financial follow-up on the system board
  • Presentations and filing - prepare presentations and notes, e.g. to steering groups, directors or the ministry by leveraging knowledge across the office, and ensure consistent communication and follow-up on the process. Be the office's “power user” for Workzone, which we use for presentations and filing
  • Compliance - ensure that the office complies with the given guidelines (e.g. regarding the System Board and financial governance)
  • Orders - coordinate and ensure follow-up on orders from other units in the Taxation and Growth Ministry
  • Annual calendar - coordinate and ensure the office's overall annual calendar, e.g. office seminars and office meetings
  • Ad-hoc tasks - handle ad hoc tasks with short deadlines, e.g. to support collection of contributions across the office.

You will join a professional network across the sub-directorate area, where you can spar with colleagues with similar tasks, and influence how we coordinate across offices and continuously improve task execution.

About you

You thrive with a broad range of tasks and are motivated by creating an overview and making joint tasks succeed. You are structured and take responsibility for your deliverables and work independently, while seeking input and clarifications from your colleagues.

You are a strong written communicator. You can gather contributions from different professional areas and translate them into clear, precise and formally correct presentations, notes and PowerPoint slides. You adapt the content to the recipient and ensure that both message and details are in place.

We also emphasize that you

  • Create structure and overview through planning and coordinating tasks, focusing on deadlines and follow-up until the deliverables are completed
  • Have a feel for numbers and finance and can work with financial follow-up in Excel, collect information and detect inconsistencies that require clarification
  • Make collaboration work through openness and a service-minded approach, and clear attention to what you need from others, and follow up in a friendly and persistent manner
  • Handle a changing daily life and maintain overview when new orders come in, and indicate when there is a need to prioritise
  • Have an eye for improvements and propose simpler workflows and solutions within the large organization's common framework and requirements.

There may be several paths into the position. Experience with public administration is an advantage.

Why should you choose us?

You will be part of a cross-cutting office with a wide range of professional competencies. Our tasks are challenging, so we can promise that you will be challenged and develop professionally, just as you get the opportunity to shape your own contribution and your own personal development. We value work-life balance, so that work and private life come into greater harmony, and the office is characterized by an informal and open atmosphere with collaboration and sparring across professions.

We offer an exciting and busy workplace with great political attention and many touchpoints in both the Development and Simplification Agency and in the other agencies in the Taxation Ministry's group. You will have the opportunity to influence your own tasks. You will always find that your colleagues are ready to support and help you – no one is left alone with a task.
