About the job

In Planning LUFT we are looking for an administrative employee who thrives with responsibility, structure and a daily routine where plans can change quickly. You will become an important part of the production chain, where your work contributes to tasks being prepared, coordinated and completed.

About us

Planning LUFT is part of the Maintenance Area Karup under the Royal Danish Defence Estates and Logistics Organization (DALO) and supports planning and management of maintenance production across several aircraft types.

Our task is to create coherence between maintenance needs, operational requirements, available skill capacity and actual production. We work in a complex technical environment where many activities, competencies, materials and dependencies must fit together.

Planning LUFT gathers information from the production and translates it into a single common situational picture. We monitor the planned against what actually happens and use experiences, registrations and learning to create a better basis for the next plan.

In Planning LUFT different professional disciplines work with their respective part of the process, but towards the same overall task. You will therefore be part of a close collaboration between production support, planners, supply and analysis.

About the position

As an administrative employee in Planning LUFT you will be a central part of the daily production support. You work closely with the production planners and other functions in the department and help ensure that information, registrations and planning basis are correct and available.

The role ranges from preparation of upcoming production to follow-up on what actually happens. At the same time, you will have an active role in developing and standardising our internal workflows so that we continuously make our processes simpler, more uniform and robust.

When an aircraft needs maintenance, there is a lot that must come together in a higher unity. Tasks must be described correctly, documentation must be in place and complex aviation regulations must be accommodated.

You will become part of the machine behind aircraft maintenance, where your work helps create coherence between what we plan and what actually happens in production. You must be able to keep track of the details without losing overview, notice when something does not add up and help ensure that tasks move forward well.

Your primary tasks will include, among other things

  • review contracted work in SAP and ensure that necessary information, documentation and administrative parts of the planning basis are in place before tasks are processed further
  • create, prepare and continuously update production tasks, compile work cards and contribute to ensuring that documentation and the basis for work are ready when the task is to be performed
  • collect, structure and verify information from the production so that the status of tasks, time registrations and other production data are accurate and can contribute to relevant experiences and learning being brought back into planning
  • contribute to maintaining the department's common production and situational picture
  • handle, quality assure and archive relevant maintenance documentation as well as other administrative processes around production
  • contribute to the development, documentation and standardisation of Planning LUFT internal processes and workflows

We offer

We offer a position where your work becomes a visible part of the overall production planning, and where the quality of your work matters for the next steps in the process.

You will become part of a professional and dedicated team where different professional disciplines work closely together on the same overall task. You also get the opportunity to help develop workflows and processes in a planning function under development.

You will receive thorough onboarding and training in our systems, processes and the special environment around military aviation maintenance. It is therefore not a prerequisite that you have prior experience with aircraft or aircraft maintenance.

We offer a flexible work environment with a focus on balanced working hours so work and private life can fit together. We promote both professional and personal development with good career opportunities across the Defence. In addition, you get a unique insight into the operational defence work and the possibility of home office and staying physically active when the work allows.

About you

We also imagine that you have an office administration education. You may also have experience from a similar position of at least 2 years. The most important is that you work structurally, have a sense for quality and can maintain an overview when several tasks must be handled simultaneously.

You must be willing and able to learn our production, systems and processes.

You must enjoy both fixed workflows and a daily life where needs and priorities can change.

We especially emphasize that you

  • work in a structured, quality-conscious manner and follow your tasks through to completion
  • have an eye for detail and react when information is missing or does not fit together
  • are comfortable with digital tools and learn new systems easily
  • are curious about workflows and contribute constructively to making them simpler and better
  • communicate clearly and build good collaborative relations across different professional disciplines
  • take responsibility for your own tasks, are flexible in a dynamic daily life and contribute positively to the department's collective task solving.

Employment terms

The employment is in accordance with the current Collective Agreement between the Ministry of Finance and Public Employees Organizations – The State Sector (OAO-S collective agreement) and the Organizational Agreement for Office Clerks, Laboratory Assistants and IT Employees (HK) in the state.

Depending on your qualifications and competences, there is a possibility for negotiation of supplements. The position is linked to an employer-financed pension scheme.

The workplace is in Karup J.

As an employee within the Ministry of Defence, you are subject to certain special conditions. You must be able to obtain security clearance and maintain the clearance throughout the employment.

As an employee you have a duty to perform service outside the country, including at units in international operations with a view to participation in conflict prevention, peacekeeping, peace-making, humanitarian and other similar operations.
