About the job

PhD Administration, University of Copenhagen

Would you like a versatile and development-oriented office trainee program in a large and exciting organization?

The PhD Administration at the University of Copenhagen is seeking two new office apprentices with a specialization in public administration.

About us

The PhD Administration is the Nordic region's largest and supports more than 3,600 PhD students spread across six faculties. We work closely with leaders, supervisors and colleagues across the university to ensure efficient and good administration of the PhD education.

We are about 50 employees spread across six teams, and we work Lean-based to create structure, quality and a good working environment. As an apprentice with us you will be part of a professionally strong and welcoming environment, where you will take on responsibility, variety in tasks and opportunities for both professional and personal development.

Our office is located in the Niels Bohr Building at Jagtvej 132, Copenhagen N.

About the program

As an office apprentice you will undertake a 2-year program with a specialization in public administration. The course includes 13–15 weeks of school stays at Niels Brock , including the professional examination for the specialization.

With us you will be attached to two teams, so you gain insight into many different administrative tasks – both independent and in collaboration with colleagues. You will, among other things, have the opportunity to work with:

Examples of tasks Finance and administration

  • Invoice processing
  • Travel expense settlement
  • Procurement

Case handling and operations

  • Journaling and email visitation
  • Case handling in connection with the PhD students' education program

Service and coordination

  • Meeting and event coordination
  • Secretarial tasks
  • Telephone answering

Data and systems

  • Data processing
  • Work in KU’s administrative IT systems

We provide a thorough introduction, ongoing feedback and support, so you can develop and take ownership of your own learning.

Your development as an apprentice

With us, the apprenticeship program is much more than an introduction to administrative tasks. We place emphasis on developing you both professionally and personally throughout the apprenticeship.

You will gradually take responsibility for your own tasks and be involved in different areas across the PhD Administration. Together with your apprentice supervisor and your colleagues, we ensure you build competences in public administration, case handling, communication and collaboration.

We prioritise sparring, feedback and learning in everyday work, so you gradually become more self-reliant and gain insight into how a large public organization operates. The goal is that after completing the education you stand strong both professionally and personally and are well equipped for a career in public administration.

We envision that you

  • are positive, engaged and service-minded
  • are good at building relationships and collaborating across teams
  • work thoroughly and pay attention to detail
  • are curious and motivated to learn new things
  • can communicate clearly verbally and in writing in both Danish and English
  • have strong IT skills

You don't need to know it all from the start – the most important thing is that you want to learn.

Educational requirements

You have passed – or expect to pass before you start – one of the following

  • HHX
  • EUX (office-focused)
  • 5-week EUS program for students (STX, HTX, HF)
  • Admission-granting foundation course

If you are 25 years or older before the start of the foundation course (EUX/EUS), please attach a prior learning assessment.

Salary and terms of employment

Employment is under the applicable collective agreement between the Ministry of Finance and Public Employees Organizations – The Public Sector (OAO-S) as well as the collective agreement for office clerks, laboratory technicians and IT staff (HK/Stat).

Start date is 1 March 2027
