RECEPTION- AND CONFERENCE CHEF - Do you want to help create hospitality, an overview and a strong experience

Gram Slot seeks an engaged and present reception and conference manager, who will help create coherence between our guests, the reception, conferences and the rest of the house.

Gram Slot is much more than a hotel. We are a lively manor with hotel, restaurant, conferences, events, celebrations, culture and organic farming. Here there are many different guests, events and activities – and therefore no two days are the same.

We are looking for you who can lead, coordinate, sell and be a host.

Your role

As reception and conference manager you will have a central role in the daily operation of the hotel.

You will be responsible for the reception and will at the same time be the natural coordinator for our conferences and meetings. You must ensure that the guest experiences Gram Slot as one single place – from the first contact to departure.

You will become an important part of the collaboration between reception, sales, conference, restaurant, kitchen, cleaning, marketing and events.

Your primary areas of responsibility

Reception and guest service

• Daily responsibility for the operation and development of the reception, including leadership and training.
• Ensure a high and personal service level
• Check-in and check-out as well as handling of guest requests
• Phone and email contact with guests
• Ensure good routines and workflows in the reception
• Coordination of rooms, arrivals and departures
• Follow-up on guest feedback
• Upselling of rooms, restaurant, experiences, events and other Gram Slot offerings

Conferences and meetings

• Coordinate conferences, meetings and corporate guests from booking to execution
• Be the main point of contact for the conference client
• Prepare and follow up on practical plans and event details
• Ensure that venues, technical equipment, catering, rooms and other wishes are coordinated
• Receive and host conference guests
• Ensure a good briefing and handover to the relevant departments
• Follow up with the client after the event
• Contribute to upselling and development of the conference business
• Help develop new conference products and guest experiences

Collaboration and operations

• You will be an important link across the house.
• You must therefore be good at communicating, coordinating and creating overview – even when there is a lot happening at once.
• You have natural authority and can set a direction for the team. At the same time you are a colleague who lends a hand when needed.

You are both leader, coordinator and host

• We are not looking for a boss who only sits in the office.
• We are looking for a visible and hands-on leader who wants to be close to both guests and staff.

We imagine that you

• have experience from hotel, reception, conferences, tourism or the service industry
• have experience with personnel management or are ready to take the next step as a leader
• have experience with or strong interest in conferences and corporate clients
• are structured and good at coordinating
• have a natural commercial sense and can see opportunities for upselling
• are good at building relationships with guests, customers and colleagues
• communicate confidently and professionally in Danish and English
• are familiar with IT and preferably have experience with booking systems
• can work independently and make decisions
• are flexible with regard to working hours, weekends and peak season
• have good humor and a desire to be part of a living house.

It is an advantage if you have experience with Spectra or other hotel/booking systems.

You report to the hotel manager and become part of the daily management and coordination of the hotel and conference area.
