About the job

Are you looking for a meaningful and motivating job, where your competencies in executive support are utilized, and your need for a versatile task portfolio is satisfied? Then read on here. We are on the lookout for a proactive and quality-conscious generalist (AC) to support the management in a 12-month maternity cover.

You will be anchored in the Directorate Secretariat, where dedicated colleagues work to solve the many tasks that come with a large management. The secretariat's tasks span from practical and administrative handling of inquiries that come in via the hospital's central mailboxes, meeting planning and calendar coordination – to case handling, meeting preparation, execution of events and development of robust administrative processes. You will be part of a collegial community, where we all work professionally and aimed at providing the best service.

Our management is ambitious and hardworking, and it places great demands on us to solve our tasks on time and with a good eye for how we can help best in daily life. It creates a dynamic and exciting workday, where tasks are varied, and two days rarely are the same. Our ambition is always to be of benefit to the management, managers and colleagues at the hospital as well as to our external partners. Our foremost task is to solve the challenges and tasks that people approach us with – big and small.

The pace is high, but there is also room for laughter and camaraderie. We place a high value on curiosity and learning and have an open approach to new perspectives and ideas. Therefore there is also room to think new and help develop our way of working.

Your tasks

We expect your task portfolio to be diverse, and you must therefore thrive in a generalist position, where you master tasks of both practical administrative, operational and strategic nature. You will come to handle directorate support in a broad sense with a focus on ensuring that the management is always prepared for meetings and other activities as well as case handling and answering incoming inquiries to our management.

Concrete tasks include

  • Answering and distributing inquiries to our management via the directorate mailbox
  • Daily ad hoc tasks related to directorate support, calendar management and meeting arrangement for the management
  • Coordination and arrangement of various types of events in directorate settings
  • Collaboration across our units in the staff around development of agile administrative workflows
  • Guidance and support to colleagues in our ESDH system Workzone.
  • Be part of developing systematic and structure for our many tasks in the secretariat

Who are you

You are interested in being an important part of a larger collaboration around supporting the management. You are service-minded, curious and proactive – and not least action-oriented. We need an employee who can support the management on several levels, where both small details and the big overview come into play.

We place, among other things, emphasis on you possessing the following qualities and competencies:

  • Have experience with executive/board support and preferably from the healthcare sector
  • Are service-minded and good at building good collaborative relations
  • Have a high level of attention to detail and quality assurance
  • Are able to prioritize, plan, coordinate and work in a structured way
  • Find solutions, take responsibility, are proactive and follow tasks through to the end
  • Are good at communicating orally and in writing
  • Have experience working with Workzone or another ESDH system and know the systematic journaling
  • Contributes to good mood and a good working environment, also in a sometimes busy everyday life
  • Have an academic educational background

We expect you to flexibly and proactively contribute to tasks, whether the need is practical or more strategic. We need both parts, and often you will experience that things go hand in hand.

We will of course ensure thorough onboarding and a good handover, so you get the best possible prerequisites to get into the tasks and become part of everyday life in the secretariat.
