About the job

Structured event coordinator with a knack for planning and executing seminars, poster events and other events.

Are you passionate about coordinating and being the one who has the cool head? Do you have drive and a sense for giving guests the best experience? Then maybe you are the one we are looking for as an event coordinator in the Stakeholder Management office at DTU.

In your portfolio of events you will coordinate activities related to departments and institutes in collaboration with requisitioners from various parts of DTU. You are also part of the team around the regular Academic Ceremonies at DTU.

The Job

You will become part of the Stakeholder Management office and will collaborate with colleagues across DTU and, in some cases, external partners. Under the supervision of the office's professional lead for events you will be responsible for planning, coordinating and delivering a range of events. The tasks primarily include poster events, seminars, workshops and other professional events for institutes, centres and departments at DTU.

You will work with the entire process around an event – from the initial ideas and planning to execution and the subsequent evaluation. In close collaboration with internal and external stakeholders you contribute to the coordination, marketing and execution of events.

Your tasks will include, among others, concept development, preparing invitations and communications emails, obtaining offers and budgeting as well as planning of facilities, catering and attendee registration. You ensure coordination with partners and contribute to evaluation and reporting after events.

As part of the team you will also assist with selected logistical tasks in connection with DTU's larger recurring events, including the annual party and graduate receptions.

You must be prepared for varying working hours, including evening work, in connection with events about 10 times per year.

Our expectations of you

We expect that you

  • Have a relevant education in events, possibly communications, administration or similar. If you do not have an event-related education, we expect that you have experience in planning and coordinating events. It is an advantage if you nonetheless have a couple of years of experience in event coordination.
  • Have a flair for IT and a willingness to learn new systems. Experience with Microsoft 365, Teams, OneNote, Conference Manager, Canva or similar tools is an advantage.
  • Have an understanding of budgets and preferably experience with budget monitoring.
  • Are highly organized, work independently and meet deadlines.
  • Are good at creating an overview.
  • Thrive on collaboration and contribute positively to the team.
  • Have experience working with minute-by-minute schedules.
  • Are good at communicating and expressing yourself clearly and professionally in both Danish and English, orally as well as in writing.
  • Thrive in executing events and be the driving force for the practical aspects as well as distribution of tasks during the event.

It would also be an advantage if you have experience from the service, hotel or restaurant industry.

What we offer you

We offer you a position in a versatile and educational environment with engaged colleagues. The Stakeholder Management office has been built up over many years and is now among other things DTU’s guarantee that university events have a high quality – you will help to carry this forward. We have an informal tone and a good camaraderie, and even when there is pressure, there is time for smiles and good mood.

Salary and terms of employment

Salary and terms of employment in accordance with the OAO-S collective agreement and the organization agreement for office clerks, lab technicians and IT staff (HK/Stat).

In addition, allowances may be negotiated in accordance with DTU's pay structure for HK Office or HK Laboratory: https://www.inside.dtu.dk/human-resources/under-ansaettelsen/loen/loenstrukturer

You are employed in the Department of Policy & Relations. Work location is Lyngby Campus.
