About the job
Dear future colleague
My name is Lotte, and I am the principal at Blomsterhusene.
If you like to fit many pieces together – and find it satisfying when a plan holds, even when it’s pressured – then I would like to tell you about a job that is even more meaningful than the title might suggest.
We are looking for a work-time planner who, together with our other planner, Michala, is responsible for the duty rosters at Blomsterhusene. You share the house between you: You are responsible for 2-3 of our living groups, and Michala for the rest. You divide the living groups between you. You typically meet in the mornings, spar with each other daily, and cover for each other when one is on vacation. You sit in your own office close to the living groups you plan for – but initially you sit together so you get off to a good start.
Operations first – then we find room for the wishes
The day starts with an overview: Who has reported sick, where are there shortages of hands, and should the gap be covered by our own substitutes or a staffing agency? After that you shift focus forward. You plan about two months ahead, monitor the finances, and ensure that no one gets too many hours over several weeks. If a living group has had overtime for several weeks in a row, it is you who lays out the coming weeks so the workload is distributed.
Once a year we draw up a basic plan based on employees’ wishes – and every day new ones come: a shift to be swapped, a day off, a first aid course, or a fire drill. Here you always start with what the residents and living groups need, and then find room for the wishes within the framework.
This also means you will have to say no. Preferably with a good alternative in hand – and without promising anything before you know it can hold. It is not always popular right there, but it is what makes the plan fair for everyone.
When someone has not submitted their wishes, you are proactive in seeking an answer so the plan is built on the correct picture. And when new substitutes and colleagues start, you give them introductory times and welcome them.
No one knows all the paragraphs by heart
A large part of the job is navigating the collective bargaining agreements: How long may a shift be? When must a change be announced? When is it overtime? And what does it mean for the plans you have already laid when a new collective agreement enters into force?
No one knows all the paragraphs by heart – not even Michala and I. The important thing is that you are proactive in where you find the relevant and current knowledge you need. If you don’t find this in your reference works, there is always help to be found from our administrative colleague who knows the collective agreements and KMD Opus inside out.
Every fourth weekend you also have the emergency line, where you help if something arises outside normal working hours.
What Michala, your upcoming partner, says
“The planning has a very concrete impact on the residents – security, stability, and rhythm. I still refer to the collective agreement several times a week. It’s not a sign that you can’t do your job – it’s how you avoid promising a colleague something you can’t keep. I look forward to having a partner I can discuss difficult cases with.” (Michala, work-time planner)
It’s a job with many balls in the air and a big responsibility – and one of those where you can see that your work makes a difference every single day.
We look forward to hearing from you.
Best regards
Lotte Rosenberg Jørgensen

About Blomsterhusene
Blomsterhusene is a residential service in Gentofte Municipality for adults with severe multiple disabilities, close to Gentofte Lake and Forest – lovely places we often visit. Here 39 residents live in five living groups in spacious single-story houses. Most live here for life, and many do not have a verbal language. Therefore safety and continuity are absolutely central – and that is also why a stable duty plan matters so much.
We are a interdisciplinary community with around 50 permanent staff – social educators, social–health helpers, pedagogical assistants, house assistants, care assistants, a health care coordinator, and management – and about 120 employees in total when including substitutes. We work closely with relatives, day care facilities, and health professionals.
Blomsterhusene is a 24-hour residential service under the Danish Act on Housing for People with Disabilities with help and support under SEL §85. Read more about Blomsterhusene here.
