About the job

Are you the executive secretary/PA for DTU Construct, where you will get close to the operation and the strategic development of the institute as part of the central administrative team and become part of the research program CEBE?

We are looking for an experienced and structured executive secretary/PA to support the management at DTU Construct and to take on a coordinating role in the CEBE research program.

The job

As executive secretary/PA for DTU Construct you will get very close to the management and gain deep insight into the operation and the strategic development of the institute.

The work will include

  • PA tasks for the Institute Director (e.g., meeting planning and follow-up, meeting minutes and travel arrangements.)
  • Assist the Institute Director and Administrative Managers in preparing overviews, presentations, reports, event planning and ongoing ad-hoc tasks
  • Secretary (agenda, minutes, meeting materials, document control) for the management team, the Local Collaboration Committee, the Local Occupational Health and Safety Committee, and the Advisory Board. Handling procurement and coordinating events, anniversaries and professorships.
  • Project coordination of CEBE at DTU, including support for the Institute Director as well as Leads and Co-leads for DTU’s Research Fields. You act as a link between DTU, the CEBE secretariat, and researchers / institutes and support coordination, reporting and communication

You will be part of a well-functioning administrative team, where mutual support and good humor are a natural part of everyday life. You will report to the Administrative Manager Katrine Brixen Bojesen and in daily work have close cooperation with the Institute Director and the Administrative Manager.

The big overview and a sense for detail

As executive secretary and PA for the Institute Director Hans Nørgaard Hansen you will be a key person in everyday life, where you take pride in being a support function and being proactive. You have solid judgment and master both keeping an overview and paying attention to detail. You thrive in a daily life with both routine operational tasks and the more quirky tasks that may not be obvious at first glance.

The job requires that you work independently with a good feel for when to involve the other administrative colleagues, and you are not afraid to challenge whether something can be done smarter. You are outgoing, easily approachable, and able to stay calm even when things suddenly need to move fast or extra tasks come in from the side and shift focus and priorities.

There will be a large amount of contact with the institute and the rest of DTU, so you must be able to talk with and relate to many different types of people and their varying ways of seeing things. You will work in DTU’s digital systems, so you should be curious about getting to know these. You will help ensure that the collaboration around the leadership runs smoothly, and that both internal and external relations are maintained with professionalism and presence.

In your tasks you will

  • Act as the link between the leadership and internal/external partners
  • Ensure a welcoming and professional representation of the leadership and the organization
  • Contribute to a good working environment through your presence, structure and ability to create an overview
  • Handle confidential information with discretion and integrity

In addition your CV should include

  • Education in Business Administration at a minimum bachelor level
  • Experience from a similar position
  • Solid user experience with Outlook, PowerPoint, Word and Excel
  • Good Danish and English skills, written and spoken, as English is the institute’s working language
  • Good ability to formulate yourself in writing and speaking and effectively summarize texts/case presentations in bullet points

Experience from the university world would be an advantage, but not a requirement to apply.

What we offer you

You will become part of the institute’s administration, where we all share an administrative support focus comparable to yours. You can look forward to being part of a environment where knowledge sharing and professional sparring are part of the common DNA, and where everyone is prepared to back each other up and help one another. We prioritize a sensible work-life balance, and we are flexible with regard to working hours in consideration of the Institute Director’s calendar. A natural part of your new job will be high professional standards, your own development and responsible, autonomous decision-making.
