About the job

We are seeking an experienced, independent and well-organized secretarial staff member who can support the leadership of the Student Advisory Service and help ensure that a smaller state institution is well-run and governance-ready.

The position is placed in the Secretariat of the Student Advisory Service, which consists of five employees. In total we are about 55 employees in the Student Advisory Service, geographically distributed to reflect the distribution of students in higher education.

You will work closely with the director and the three department heads and will play a central role in keeping track of a number of the organization's cross-cutting processes and commitments.

An important part of the job is to create overview and support progress: to know what should happen when, to collect and quality-assure the necessary information, to follow up on agreements and deadlines, and to ensure that tasks are carried through to the end. You do not have to be able to solve everything yourself, but you should be able to familiarize yourself with different areas and have an eye for when others should be involved.

Your key tasks

You will among other things

  • coordinate the work on the Student Advisory Service's goals and results plan and annual report and support strategic processes
  • plan and coordinate the board's and the Cooperation Committee's work, including agendas, meeting materials, minutes and follow-up on decisions
  • prepare and maintain management information on e.g. activity, wait times, capacity and resource use
  • contribute to an overview of productivity and financial key figures in collaboration with relevant colleagues
  • coordinate cross-cutting projects and processes and follow up on agreements, deliveries and deadlines
  • ensure ongoing administrative follow-up on areas such as GDPR, record-keeping, contracts and other statutory requirements and deliverables
  • have contact with relevant external partners and specialists and ensure that there is follow-up on supervision, inquiries and agreements
  • after a further task distribution, coordinate the Student Advisory Service's systematic occupational health and safety work, including the APV.

The tasks span a broad range, and some come only once or a few times a year. Therefore it is important that you can build and maintain good workflows and an annual cycle so that we do the right thing at the right time – without making the processes more extensive than necessary.

Who are you?

Your educational background is not decisive. You may have e.g. a secretarial education, an administration education or a higher education degree. What is decisive for us is what you can do, and the experience and judgment you bring with you.

We imagine that you have solid experience with administrative and coordinating tasks and are used to independently taking responsibility for processes from start to finish. It is an advantage if you know the public sector or another public organization and have experience with executive support, but it is not a requirement.

You are familiar with numbers and spreadsheets and can work confidently with data and administrative systems. You do not need to be an economist, lawyer or specialist in GDPR or occupational health. On the other hand, you must be able to understand rules and workflows, ask questions when something doesn’t add up, and figure out who should be involved when a task requires specialized expertise.

We especially emphasize that you

  • have an exceptionally good eye for structure, detail and deadlines
  • work independently and take responsibility for carrying tasks through to completion
  • write clearly and precisely and are secure in working with numbers
  • can create an overview, even when many different tasks run concurrently
  • have good organizational judgment and can distinguish between the essential and the less essential
  • are proactive and react when you notice something that requires action
  • can create systematization without creating unnecessary bureaucracy
  • collaborates well with both managers, colleagues and external partners.

The position does not require that you know everything. Instead, we expect you to take responsibility for finding out what needs to be done, when it should be done—and who should be involved.

We offer

  • A development-oriented and varied job with a great deal of independence
  • Good colleagues who are committed to developing the workplace
  • A workplace that places emphasis on mutual flexibility
  • Good professional development opportunities, including offers for further education
