About the job
Are you an academic, preferably with experience from the Armed Forces, and would you like to become part of building up the Armed Forces' combat capability? Then we may have the job for you.
About us
The Defence Supply Service is part of the Operational Support Command.
We have as our main purpose to receive, distribute and hand over the matériel that Defence authorities have need for. It covers everything from uniforms, ammunition, spare parts and codes to fuel and dog food. We have colleagues at more than 45 service locations in Denmark. It is the Defence Supply Service that runs the Defence's main depots, supply centres, tank areas, code production and ammunition storage, etc. In short, we operate the Defence's basic logistics.
In the heart of the Defence Supply Service there is a smaller but important coordination section housed in Brabrand near Aarhus. The section's overarching task is to contribute to coordination, management and development in the Defence Supply Service. The section works, among other things, with strategic establishment, settlement preparation, agreement implementation and general chief support in the Defence Supply Service, but also handles a number of authorities tasks.
The Coordination Section consists of both uniformed and civilian employees and currently comprises five staff members and a chief. It is particularly important for us to have close collaboration and a good working environment – both internally in the section and with the other parts of the Defence. We have a daily life where knowledge is shared, and where we help and support each other. We focus on job satisfaction, flexibility, work-life balance and the possibility for both professional and personal development.
We believe this is essential to solve the section's complex tasks – especially when it sometimes needs to move quickly.
About the position
As an academic employee in the Defence Supply Service you will play a key role in future-proofing the Defence's physical supply chain in the Establishment, which in the Defence encompasses the physical areas, buildings and facilities that we and the rest of the Defence have at our disposal.
Your primary task will be to ensure the strategic and operational overview of the Defence Supply Service's total building stock, as well as current and upcoming building development projects. This applies to both normal development and the special needs that currently arise because the Defence generally is growing. For the Defence's Supply Service in particular, this means that the increased inventories of matériel, uniforms, spare parts and ammunition trigger needs for renovations, expansions and new builds in the depot structure.
You will become the vital link in an important coordination axis. You shall consolidate and qualify the Defence Supply Service's three operating departments' (Depot, Distribution and Supply Department) needs for building development internally within the Defence Supply Service.
You must coordinate and work closely with the operative requirements in the Operational Support Command and subsequently drive and "translate" these requirements further to the Establishment and Terrain Command, which is responsible for the construction execution.
The role requires strong diplomatic tact, strong analytical abilities and a pronounced process understanding at the interface between logistics, operations and infrastructure.
Primary tasks and areas of responsibility
- ETAB portfolio overview: Establish, maintain and systematize the overall capacity overview of the Defence Supply Service's current depots and addresses.
- Strategic needs clarification: Facilitate dialogue between the management of the Defence Supply Service and the Operational Support Command to identify future capacity needs, logistical bottlenecks and modernization desires that support the operational support of Defence's soldiers and combat power.
- Requirements specification and approval: Translate the coordinated logistical and operational wishes from the Defence Supply Service's management and operating departments into stringent, written needs and requirements specifications that can be handed over to and approved by the Establishment and Terrain Command.
- Project and portfolio monitoring: Track progress on current and upcoming building and renovation projects. Ensure timelines and any changes are coordinated with regard to the daily operations of the supply chain in the Defence Supply Service.
- Management reporting and decision basis: Prepare analyses, portfolio overviews and decision proposals for the Defence Supply Service's management regarding the status of infrastructure projects and the short-term and long-term development of the building stock. If necessary, also prepare notes for escalation of issues to the Defence's top authorities.
- Case handling of hearings: Gather input to and respond to hearings affecting the Defence Supply Service's building stock and use of our buildings, e.g., local plans, access changes, etc.
- General case handling: When needed, support the unit's other case handlers with tasks outside the Establishment area.
We prioritise that, as a case handler in the coordination section, you travel around the country to meet the Defence Supply Service colleagues to gain insight into their task solving, conditions and challenges. We believe this creates the best results in our analyses and case processing. You must therefore be willing to step out of the office and have some travel days per month.
You will have independent case responsibility, but you are never alone – you will always have colleagues to discuss with.
About you
- Education: Relevant academic education at master's level (e.g., cand.scient.adm., cand.merc., master's in logistics/supply chain management, facility management or similar) – or a professional bachelor's degree in Facility Management with a master's level qualification.
- Experience: Experience with portfolio management, project coordination or logistical infrastructure. It is an advantage to have knowledge of the Defence's organization and workflows.
- Relation- and process-strong: The ability to bridge and communicate effortlessly with different cultures – from the logistical reality at the depots to the operative staff structure in the Operational Support Command to the technical and administrative world in the Establishment and Terrain Command.
- Analytical and structured: High data discipline and the ability to maintain a helicopter view over many parallel projects and locations across the country.
Employment terms
The employment is in accordance with the then applicable agreement between the Ministry of Finance and a number of academic organizations for academics in the state (Academic Agreement).
Depending on your qualifications and competencies, there is a possibility for negotiating additional allowances. There is an employer-financed pension scheme linked to the position.
The workplace is in Brabrand.
As an employee under the Ministry of Defence's area, you are subject to certain special conditions. You must, among other things, be able to obtain security clearance and maintain the clearance throughout the employment.
As an employee you have an obligation to perform service outside the country, including at units in international operations with a view to participating in conflict prevention, peacekeeping, peacemaking, humanitarian and other similar operations.
