About the job

Do you like structure, and do you thrive in a role where you can support others? Are you meticulous, curious, and detail-oriented? Do you take pride in performing your tasks to a high quality? Then you may be our new colleague at OPEN.

OPEN Administration and Project Law - service and quality at the forefront

You will be employed in the function area IT & Project Coordination, which consists of 5 teams. Your administrative tasks will particularly be linked to the two teams: Administration and Project Law, where we expect your time to be fairly distributed. As an employee in administration, you will have naturally broad contact with all colleagues at OPEN. When performing tasks in Project Law, your primary contact surface will be the researchers at OUH. In both teams we set service and quality at the top – both externally, towards the researchers we contact, and internally in the daily administrative work.

What you will be working with

Your tasks will consist of ongoing operational tasks, various recurring tasks that must be solved for example monthly, as well as ad hoc tasks that come in and must be done here and now. In addition to the main areas described below, there will be both a need and opportunity to solve additional administrative tasks depending on competences and interest.

Tasks in Project Law

Project Law handles among other things the registration of projects on the internal register of research and quality projects at OUH. The registrations are carried out in accordance with applicable law (GDPR and the Data Protection Act). When performing your tasks you will spar with OPEN's two jurists within research law.

  • Review of notification forms with a view to recording projects on the register.
  • Registration of changes and extensions to projects on the register.
  • Registration of data processing agreements, joint data responsibility agreements and data transfers.
  • Clarification of agreements with researchers and screening of incoming emails in the Project Law inbox.

Tasks in Administration

You will carry out the tasks in close collaboration with your administrative colleagues.

  • Registration of projects, preparation of collaboration agreements and follow-up on the projects.
  • Archiving of correspondence in the ESDH system Acadre.
  • Plan2Learn editor (Region of Southern Denmark course system).
  • Ordering refreshments for meetings.
  • Purchases, ordering IT equipment etc.
  • Ad hoc tasks as needed.

Tasks for the management team

In addition to the two areas above, you will also perform ongoing tasks for the management team – this may include planning and booking meetings, helping with events and similar.

Your other tasks will depend on the department's needs, your competences, and the time available

You and your background

You are a responsible and thorough administrative employee, who takes pride in performing your tasks with care. In your task solving you are structured, quality-minded and service-minded.

In addition you have

  • Overview and ability to prioritize between your main tasks.
  • Understanding of flexibility in task prioritization when urgent tasks must be solved.
  • Ability to understand and translate rules and guidelines into practical task solving.
  • Understanding of and willingness to work according to applicable quality assurance systems and administrative procedures.
  • Good written communication skills in Danish and English
  • Relevant administrative education.

It is an advantage if you have administrative experience from the healthcare sector and/or experience with administration within health science research.

We offer

A central administrative position in an exciting department that values collaboration, development and community highly – both professionally and socially.

You will become part of a workplace in development, where your work contributes to health science research in the Region of Southern Denmark.

We ensure a tailored introductory program, where you are introduced to the tasks in OPEN Administration and Project Law as well as the department's other employees and areas of work.

There is the possibility of home office days by mutual agreement.
