About the job

If you have structure and an overview as your middle name, you may be our new Departmental Management Secretary. We need someone who likes to put workflows into system and stay ahead of the next step in processes, keep two busy calendars in order, and much more? You are a secretary to the fingertips and can prepare the Departmental Management for our everyday work, so there is time to develop our shared department?

The position as Departmental Management Secretary is effective January 1, 2027.

About the job

You will report directly to Chief Nurse Marianne Bækager.

What the job basically requires you to do

  • have good organizational understanding, situational awareness and flexibility, high professionalism and discretion, while we expect you to be approachable, service-minded, proactive and initiative-taking
  • be able to work independently to the same extent as you are a team player
  • have good prioritization ability and a systematic approach in your work and be able to enjoy a daily routine where some tasks are new, but where there are also many familiar recurring tasks
  • understand how to collaborate and communicate with a wide range of people and professional backgrounds and not let yourself be frustrated by the many inquiries that come in during a day.

Some may call parts of your tasks routine tasks, but you know they are important tasks that ensure the department management’s everyday life can run smoothly, and that the Departmental Leadership is prepared and well-coordinated.

Your tasks will include

  • Departmental Management Secretary, including direct management support, administrative assistance and dissemination/communication tasks
  • various administrative tasks, including calendar management, meeting invitations and practical tasks related to meeting activities, appointments and the like
  • secretarial support, including preparation, planning and follow-up on Leadership Group meetings, LMU and other interdisciplinary forums within the department
  • triage of cases from the department’s functional mailbox, including case handling of patient complaints and patient compensation cases
  • receiving goods in ØS and case investigations
  • course administration
  • case handling and follow-up on a broad range of smaller matters in accordance with the agreement with the Departmental Leadership.

More significant tasks may be

  • coordinator for the TULE and APV processes
  • updating the telephone list and useful information
  • coordination regarding parking solutions, etc.
  • practical assistance with arranging social activities.

We expect that you

  • have a relevant education and preferably several years of experience as chief secretary or similar. You may also be a medical secretary or SAK – the most important is that you want to contribute to the role
  • see it as your top task to stay ahead of the Departmental Leadership’s tasks, including being closely involved in coordinating the department’s calendars, emails and meeting preparation
  • can work independently and prioritize with many balls in the air and several different deadlines simultaneously
  • have strong communication skills
  • are fluent in IT, including spreadsheets, email, preferably ESDH and financial systems – and are quick to learn new IT systems
  • have a sharp organizational eye and an understanding of decision-making processes in AUH’s organization
  • have a sense for the whole task and not just the part you contribute
  • are persistent and do not stop until the task is complete
  • can maintain an overview, calm and your good mood
  • are interested in new tasks that can also develop your own competencies and qualifications.

We offer

  • a trusting and dynamic workplace with varied tasks and experienced colleagues. You will share an office with our research secretary; in addition you will have natural collegial contact with the department’s medical secretaries
  • an informal tone among all professional groups
  • influence over your own workday and tasks
  • the working hours are basically from 7:30 – 16:00; we are flexible with this, just as we expect flexibility regarding occasional needs for your participation in meeting activities at outside hours. All aspects of working hours are agreed with the Departmental Leadership
  • good opportunities for personal and professional development.
