About the job
Department Secretary for the Institute for Communication and Culture’s Secretariat in Nobelparken
The Institute for Communication and Culture is looking for a service-minded, stable and engaged department secretary (HK) for one of our local secretariats in Nobelparken.
About the job
Our new department secretary will play an important role in ensuring that daily operations run smoothly in our local units. The tasks are broad, and you will have extensive contact with both the secretariat and the institute’s staff.
Your primary tasks will include
- HR tasks:
- Hiring part-time staff and directing payroll
- Absence registration (in mitHR)
- Managing functional mailboxes
- The administrative and practical part of on- and off-boarding
- Meeting invitations in Outlook
- Assistance to ensure education runs on schedule, including:
- Collecting teaching evaluations
- Oral examinations
- Expense and travel reimbursements
- Support for planning and holding events, seminars, conferences, etc.
- Ordering meeting refreshments
- Many ad hoc tasks
The tasks will be continuously adapted to the needs of the departments, and the task portfolio may change over time. We expect, however, that HR tasks will occupy the most space.
It would be advantageous if you have experience with some of the tasks and familiarity with mitHR, SDI, RejsUd or similar systems, but it is not a requirement.
As a department secretary you will join a close collaboration with two other department secretaries, two department consultants and two department managers. You will, on a daily basis, serve our scientific staff in the Department of English and the Department of German and Romance Languages.
The position is 37 hours per week, and employment will be on 1 January or shortly thereafter. The workplace is in Nobelparken, building 1481, Jens Chr. Skous Vej 14, 8000 Aarhus C.
Who are you?
We are looking for a colleague who thrives in a daily life where tasks can vary, and where one may need to adapt quickly from time to time. You should be prepared to be part of a team and to collaborate across roles.
We expect that you are
- Service-minded and accommodating
- Flexible and adaptable
- Stable and reliable in meeting deadlines
- Responsible and self-driven
- Meticulous and quality-conscious
- Motivated to be in a supporting operational function in the secretariat
- Curious about digital tools and comfortable working in digital systems
- Familiar with and able to work in Excel
- Fluent in English, both written and spoken, since much communication with the scientific staff will be in English.
We offer
You will become part of a workplace with engaged and collaborative colleagues, where we help each other and ensure good onboarding. Everyday life is varied, and you will have both fixed routines and tasks that vary with activities in the house.
We place a high value on a good working environment and see well-being, respect and cooperation as an important part of our culture.
You will have the option of one remote workday per week.

Application deadline: 2 November 2026
Interviews expected to be held in week 46.
Start date: 1 January 2027, or as soon as possible thereafter.
