About the job

Partner and Executive Leadership Coordinator

Are you the type who spots the need before it is spoken aloud? Do you naturally take ownership, thrive with structure and coordination, and want to take responsibility for ensuring the practical day-to-day operation of the offices runs smoothly? Then the role as Partner and Executive Leadership Coordinator for one of our partner companies in Viborg might be the role for you.

The role should be seen as a proactive support function for the company's management and partner network, which among other things should contribute to increasing the quality and structure around leadership work. You will have a central position close to decision-making and a broad contact surface across the company. Your base will be at the Viborg office, but you can expect to be at the Aalborg office about once a week and as needed.

Your daily life in the company

As Partner and Executive Leadership Coordinator, your task is to create structure, stay ahead, and ensure that everyday life runs smoothly and processes are followed through. At the same time you will have practical ownership of the Viborg and Aalborg offices and become an important person in daily administration and coordination. Your primary tasks will be:

  • Prepare and support management and board meetings as well as staff and AMO meetings
  • Draft minutes and presentation material and ensure consistent follow-up on decisions and agreements.
  • Provide relevant background material and handle various administrative tasks for the management.
  • Contribute administrative support within areas such as HR, internal processes such as sick leave interviews and AMR, which require confidentiality.
  • Handle inquiries by phone or in person and welcome guests to the office.
  • Take responsibility for the practical standard of the offices and meeting facilities and order office supplies and other essentials.

The common thread for the role is that you don't just sit waiting for the next task. You orient yourself, see what is needed and take the initiative to get it done.

Your background Your experience can, for example, come from a similar role as an executive assistant or PA, but you may also have built relevant competencies within administration, a management secretariat, or e.g. HR support. To achieve the right success in the role, it is, however, your mindset and way of working that are of decisive importance.

It is highly valued that you have an independent approach to work and a natural ability to create structure, set priorities, and complete tasks. You also have the integrity and discretion required when working closely with the leadership and having access to confidential information.

In addition, you have

  • Business acumen, ability to look ahead, see connections, and understand priorities
  • Good judgment and the ability to make decisions independently and take responsibility for the outcome
  • Trustworthy with a strong service mindset and an overview of the people in the company
  • Focused on tasks and deadlines and able to handle a dynamic everyday life with many inputs
  • Must be able to express yourself professionally both in writing and speaking
  • Used to working with IT systems and digital tools

It can be advantageous if you have insight into employment-law topics such as employment rules, vacation rules, termination rules, etc., but it is not a requirement. The most important is that you are curious over time to acquire the necessary knowledge.

A role you can grow with

You will have a central role with broad exposure and the opportunity to develop into a trusted right-hand to the leadership. The ambition is that over time you independently handle a wide range of administrative needs, carry out internal processes, and help create a more uniform structure around leadership work.

You will have great freedom to see, prioritize and solve tasks in close dialogue with the company and provide input on concrete initiatives and improvements. In addition, you will have an important role together with the rest of the management in creating and maintaining the framework for a good employee culture and contributing to an inviting and well-functioning workplace.

The role requires a high degree of physical presence, as you support the management, guests and daily office operations, but there is also a pragmatic approach to flexibility when the need arises.

Strong professionalism and room for you

Here there is a short path from idea to decision, and the ownership circle and management are themselves part of the daily task execution. This brings closeness to the management and the opportunity to shape your daily life. You get freedom with responsibility and colleagues who share their knowledge across disciplines and experience.

We look forward to hearing from you
