About the job

At Skovskolen we educate the future forest and nature technicians, forest and landscape engineers, urban landscape engineers, outdoor guides, and nature guides, and we offer labor market training (AMU). We operate school housing and dormitories at both of our departments, so there is activity on campus around the clock.

It requires a lot of contact and coordination across students, teachers, the central administration, kitchens, operations department and cleaning, and of course we must have a good handle on the administration. We are seeking a new colleague to take care of our school housing and dormitories and to administer the vocational education program in Forest and Nature Technology.

About Skovskolen Secretariat

We are six employees taking care of the many different administrative tasks associated with running teaching and supporting the development of Skovskolen. Many tasks we handle ourselves, others we handle in collaboration with colleagues from other units at the university, and many tasks are handled by the university's shared administration.

We are characterized by an informal tone and we enjoy good laughs in daily life. We strive for high professional standards in our task execution for the benefit of our students, participants, learners, colleagues and partners.

We have distributed tasks among us so that in everyday life we have our own areas of responsibility, but we are a small place and share the responsibility, so we help each other to make all areas function.

The education world is continually changing. Our work is often affected by new policies, new legislation, new IT systems and new strategic priorities, which means we continuously adapt our work to new needs; we move around, adjust task distribution and develop our competencies to best support Skovskolen.

The Secretariat is located in Skovskolen’s beautiful buildings in Nødebo.

About the tasks

You will work closely with an educational manager and three colleagues in the Secretariat, where the ideal is shared responsibility for tasks and a culture characterized by help and knowledge sharing.

Your work has two legs – a very administrative one, primarily consisting of dormitory administration and vocational education administration, and a leg where you are responsible for working to ensure we have an attractive and well-functioning campus environment, both for those living in our school housing and dormitories, and for all the other students/pupils.

We are however a small secretariat, so we all, to a greater or lesser extent, also handle general secretariat tasks - and we can all do the dishes even if we don’t have a sign reminding us that our mother doesn’t work here.

About you

Wellbeing factors

If you want to be happy in your new job, you should definitely

  • Enjoy contact with students
  • Be both friendly and firm when the common room at the school housing is in trouble
  • Be eager to be the driving force in our campus environment
  • Enjoy daily operations, annual cycle, procedures and checklists
  • Thrive in team collaboration with shared responsibility for task execution
  • Be comfortable with interruptions during the workday
  • Feel at home in a small secretariat with six employees

Your background

  • Vocational education, short or medium-length higher education – if not administrative, you must have a minimum of 3 years’ experience as an administrative employee
  • Speak and understand Danish
  • Flair for IT and administrative systems (we use Studie+ and Visma Case)
  • Experience from the education sector is an advantage
  • Experience with educational administration, school housing or dormitories is clearly an advantage.

Your approach

  • You are service-minded and communicate kindly and clearly
  • You work in a structured way and keep track of the details
  • You naturally take ownership of the solution of your tasks and are good at involving colleagues and partners when needed
  • You keep yourself updated on developments and legislation within your areas – and ask for help when you need it
  • You shake your head patiently at all the incomprehensible things that happen in a huge organization like the University of Copenhagen, and take the world as it is – not as it ought to be.

About Skovskolen

Skovskolen is part of the Department of Geosciences and Natural Resource Management at the University of Copenhagen. We offer vocational education, professional bachelor’s degrees, academy programs as well as AMU courses. We have about 70 staff and a lively study environment focused on nature, forests and outdoor life. We have campuses both in Nødebo in North Zealand and in Auning in Djursland – far from the rest of the University of Copenhagen.

So on one hand Skovskolen is quite independent with a strong own identity and local administration and task execution, but at the same time we are part of a department in the Faculty of Science at the University of Copenhagen with a strong shared identity, academic framing, shared systems and many common workflows.

About salary and terms of employment

The appointment is as a clerical officer under the Collective Agreement between the Ministry of Finance and Public Employees’ Organization - The State Sector (OAO-S) and the collective agreement for clerical officers, technicians and IT staff (HK/State), or as a legal adviser under the collective agreement for Academics in the State. Pay according to the AC agreement is seniority-based.

There will be opportunities to negotiate additional supplements based on qualifications. The weekly working time is on average 37 hours. We offer flexitime.
