About the job

Do you have a flair for planning, coordination and structure – and do you thrive with many balls in the air? Then perhaps you are the one we are looking for as our new colleague in the Neurosurgical Department U.

We are looking for a medical secretary or healthcare administrative coordinator for an exciting and varied position, where you get a central role in planning the doctors' working hours and at the same time take on other administrative or clinical tasks.

About the position

As a duty roster planner you will become an important part of our secretariat and, together with a colleague, share responsibility for making the doctors' duty roster add up.

It requires both an overview, structure and the ability to balance many different considerations. You must be able to see the connection between the department's operations, working time regulations, holidays, absence and the individual doctor's wishes and needs.

The duty roster planning will be a part of your role, but the position is not a pure duty roster planner role. We want to assemble a position where you also get the opportunity to use your other competencies. We expect that duty roster planning will occupy 40/60 of your working time.

The remaining part of your workday can, for example, consist of

  • responsibility for letters and writing for doctors
  • OP booking
  • special tasks according to competencies and interests
  • administrative medical secretary tasks
  • tasks related to patient pathways and clinical administration
  • coordination and other special tasks in the secretariat
  • development and optimization of administrative workflows

We are open to tailoring the tasks according to your competencies and interests, while the department's needs of course are guiding.

You will become part of a secretariat with dedicated colleagues, different functions and competencies. We help each other across and emphasize that everyone contributes to everyday life functioning – also when it is busy.

We do not expect you to know everything from the start. The most important is that you are eager to learn, take responsibility for your tasks and have the courage to become part of a function where tasks can develop over time.

Your tasks will include

Duty roster planning

  • planning the doctors' shifts in close collaboration with a colleague
  • ensuring compliance with working time rules, collective agreements and local agreements
  • creating an overview of standard time, holidays, time off and absence
  • planning and recording courses, meetings and other absence
  • ongoing adjustments of the duty roster due to changes and acute arising needs
  • releasing duty rosters before the applicable deadlines
  • dialogue and coordination with doctors, management and relevant partners

We are looking for a colleague who

  • is educated as a medical secretary or healthcare administrative coordinator
  • has an interest in planning and coordination – and preferably experience with duty roster planning
  • has an interest in or experience with HosInfo
  • works in a structured way and can maintain an overview when there are many considerations to take
  • is good at collaborating and communicating clearly and respectfully
  • can work independently and still seek sparring when relevant
  • takes responsibility and follows up on own tasks
  • thrives with both fixed tasks and tasks that arise along the way
  • wants to contribute to a good collegial community
  • is curious about how we can do things even better

It is an advantage if you

  • have experience with duty roster planning of doctors
  • are familiar with working time rules and collective agreements
  • have experience with HosInfo and EPJ-Syd
  • have experience as a letter responsible or other administrative physician tasks
  • are interested in working with development and optimization of administrative workflows

In your application

We would like to get to know you and hear a little about what you can contribute with.

Please tell us about

  • your experience with planning, coordinating or duty roster planning
  • how you create an overview when many considerations must align
  • how you collaborate with different professional groups
  • which administrative or clinical tasks you are particularly motivated by
  • what you place emphasis on in a good collegial collaboration

Who are we?

The Neurosurgical Department U is a specialized department with both inpatient ward, operating theatre and outpatient function. We work with the assessment and treatment of, among other things, brain tumors, brain hemorrhages, spinal diseases and chronic pain.

The secretariat plays a central role in the department's daily operations, and we collaborate closely with doctors, nurses and other professional groups.

We emphasize professionalism, integrity, collaboration and good humor. Our tone is informal, and we have a culture where there is a short path from idea to action.

We are also a department in development, where we continuously work to adapt our workflows and tasks. Therefore you will also have the opportunity to help shape how we solve the tasks going forward.

We offer

  • a varied position with a central function in the department's operations
  • a position where you must combine duty roster planning with other administrative or clinical tasks
  • opportunity to influence your own task solution
  • thorough training and introduction to duty roster planning and HosInfo as well as administrative tasks
  • opportunity for competency development and relevant courses
  • close collaboration with both secretariat, doctors and management
  • a strong collegial community
  • a workplace with focus on both professionalism, well-being and development

The position is in principle 37 hours per week during daytime. If you have wishes for a different employment fraction, this should not prevent you from applying for the position.

If you have questions or would like to hear more about the position, you are very welcome to contact Secretariat Manager Christina Ursin Strandberg at tel. 21 67 60 21.

We expect to hold employment interviews on Tuesday 27.10.26 from 16:00.

We look forward to hearing from you!
