About the job

Would you like to be part of a secretarial group where we build on what we already do well – and at the same time are curious about new possibilities?

In the Emergency Department we are in the midst of an exciting development. Based on a well-functioning secretarial group, we are working to develop our functions so that we both support the department's daily operations and are prepared for the new tasks that come with the health reform.

We are therefore looking for a medical secretary/health administrative coordinator who wants to become part of our community and contribute to both the familiar tasks and the development of new functions.

Who are we?

You will become part of a secretarial group of 18 medical secretaries/health administrative coordinators who carry out functions across the Emergency Department.

We already have well-established secretarial functions in the Emergency Room, the Acute Reception, and the "Fast Track". From January 2027 we will expand with a new secretarial function in the triage (visitation). This means that going forward we will be organized with secretarial functions in four different areas:

  • Emergency Room, where we receive, register and triage acute patients, handle administrative tasks around patient pathways and support interprofessional collaboration – also when the trauma alarm or a critical call sounds.
  • Acute Reception, where the secretary receives walking patients in need of acute admission as well as their relatives and primarily supports the nurses administratively.
  • "Fast Track", where we handle acute patient pathways that do not require admission but can be completed in a quick and defined course.
  • Triage/Visitation, which is our new secretarial function. Here we will, among other things, support the triage task in connection with the upcoming Health and Care Places (SOP) from January 2027.

The Health and Care Places (SOP) are a new offer from January 1, 2027 to citizens who need health-professional care, treatment or observation for a period but do not require actual hospital admission, and where the need cannot be conveniently met at home.

The new triage/visitation function is under construction, and we are therefore in the process of finding the right organization and developing workflows that support both the concrete function and the secretarial group’s overall task solution.

We want to bring each person’s skills and preferences into play as much as possible in the overall secretarial group. At the same time we are focused on finding an organization that creates the greatest possible flexibility and coherence across both our well-established functions and new tasks. We must both support the individual function and at the same time maintain an overview of the overall task solution in the secretarial group – a balance that is not entirely easy, but one we are working to find the best possible solutions for.

Your daily life in the Emergency Department

As a secretary you are an important part of the patients’ care journeys and of the multidisciplinary collaboration that makes everyday life hang together.

For us, the tasks are familiar, but the days are never alike. The workday is varied and often unpredictable. It requires overview, flexibility and the ability to prioritize when the situation changes. At the same time you get the opportunity to help develop new workflows and find solutions as we move into new areas.

In the secretarial group we also have various key roles in areas such as immigration/payment, transportation registration, shift planning, payroll registration, trauma team, collegial support, etc.

You will of course receive a good introduction and a mentor who helps you settle into both the function/functions and the community.

Working hours/shifts

The Emergency Department is a 24/7 department, and the majority of the secretarial group works in rotating shifts. Some of the secretarial functions are primarily located during daytime on weekdays.

With the establishment of the new triage/visitation function we must ensure it fits well into the existing organization and creates coherence with the rest of the secretarial group’s functions.

We expect you to be prepared for rotating shifts in principle. Working hours and shifts are arranged based on the concrete function and the department’s needs, but with regard to the individual’s competences and wishes.

Regardless of your thoughts or wishes for working hours and shifts, we are happy to engage in dialogue with you.

The roster for those with rotating shifts is partly fixed, and our scheduler tries as far as possible to take individual wishes and needs into account so that the shift plan makes sense for both the individual and the department.

We are looking for you who

  • Are educated medical secretary or health administrative coordinator.
  • Would preferably have experience from the hospital sector and knowledge of the EPJ (electronic patient journal).
  • Thrive in a daily life where tasks are familiar but days are never the same, and where new challenges and workflows are also part of everyday life.
  • Are curious, proactive and want to contribute to new workflows.
  • Have good collaboration skills, enjoy working across professional groups and functions, and can also work independently.
  • Maintain an overview and can adapt when daily life changes.
  • Place a high value on a good working environment and contribute positively to the community.

We offer you

  • An engaged, collegial community with 18 good colleagues.
  • A versatile workplace with close interdisciplinary collaboration.
  • A receptive management.
  • A good introduction and a mentor who helps you get started well..

We place great emphasis on the working environment. We warmly welcome new colleagues and make an effort to ensure that everyone feels like an important part of the community.

Our vision in the Emergency Department is

Putting the patient first obliges us to be the most innovative and dedicated Emergency Department, with a high professional standard and outstanding collaboration across, ensuring a good and cohesive patient journey.
